What you will be doing:
The Executive Administrator to the Chief Executive Officer (CEO) serves as a highly trusted partner responsible for ensuring the effective operation of the CEO's office. This role provides high-level administrative, operational, and coordination support while helping the CEO stay focused on strategic priorities, key relationships, and enterprise objectives. The Executive Administrator manages complex calendars, meeting logistics, communications, travel, and follow-up activities with a high degree of professionalism, judgment, and discretion.
A critical dimension of this position is building strong, productive relationships with executive assistants and administrative leaders across the organization, as well as key executive assistants supporting leaders at member hospitals and strategic suppliers. Through proactive coordination, clear communication, and consistent follow-through, the Executive Administrator helps align schedules, facilitate executive-level interactions, and ensure a seamless experience across a complex network of internal and external stakeholders.
The ideal candidate is exceptionally organized, highly responsive, and comfortable operating in a fast-paced environment with frequent changes and competing priorities. This person is a relationship-builder who can work seamlessly across executive offices, establish credibility quickly, and represent the CEO's office with professionalism and sound judgment. Success in this role requires discretion, attention to detail, strong follow-through, and a proactive mindset that anticipates needs before they arise. Ideal candidate has experience working with a CEO(s) and strong network and relationships with healthcare executive admins.
Key Responsibilities
Executive Support - 70%
Provide direct support to the Chief Executive Officer, President and Chairman of the Board, including complex calendar management and prioritization
Serve as a central coordination point for the CEO's office, ensuring timely communication, preparation, and follow-up for internal and external engagements.
Handle highly confidential and sensitive information with the utmost discretion and integrity.
Anticipate needs, identify potential conflicts or gaps, and proactively resolve issues to keep the CEO's office operating efficiently.
Prepare briefing materials, agendas, presentations, and background information to support the CEO's meetings, decisions, and stakeholder interactions.
Coordinate logistics for board meetings, executive leadership meetings, strategic planning sessions, offsites, and external events as assigned.
Draft, review, and manage correspondence, communications, and other materials on behalf of the CEO with accuracy, professionalism, and sound judgment.
Handle highly confidential and sensitive information with the utmost discretion and integrity.
Anticipate needs, identify potential conflicts or gaps, and proactively resolve issues to keep the CEO's office operating efficiently.
Manage travel, ensuring seamlesslogisticsand detailed itineraries
Provide direct support for expense management including accurate capture of billable expenses and compliance with firm policies
Serve as a delegate or proxy relative to various approvals and workday tasks, vendor invoice processing, etc.
Prepare meeting materials, agendas, and follow-up documentation
Obtain and organize information for use in conferences, speeches, and reports
Partner closely with executive assistants across the organization to coordinate executive schedules, leadership meetings, enterprise initiatives, and special events.
Build and maintain effective working relationships with key executive assistants at member hospitals and supplier organizations to support executive-level collaboration and meeting execution.
Operational Excellence - 30%
Maintain an elevated level of professionalism and confidentiality in all interactions
Ensure timely and accurate follow-through on client and stakeholder needs
Support special projects and company-wide initiatives
Drive operational excellence for the CEO's office by developing, standardizing, and continuously improving administrative processes, meeting workflows, and communication practices.
Identify process gaps, bottlenecks, and coordination challenges, and implement practical solutions to improve responsiveness, accuracy, and overall effectiveness.
Support the development of tools, templates, and administrative best practices that strengthen collaboration across executive assistants within the enterprise, member hospitals, and key external partners.
Required Qualifications
Work Experience:
Years of Applicable Experience - 5 or more yearsEducation:
High School Diploma or GED (Required)Preferred Qualifications
Skills:
Significant experience supporting C-suite leaders, preferably in a complex, matrixed, or healthcare-related organization.
Demonstrated ability to partner effectively with executive assistants, senior leaders, and external stakeholders in a highly professional environment.
Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and competing demands with accuracy and composure.
Excellent written and verbal communication skills, including the ability to draft polished executive correspondence and presentation materials.
Strong judgment, discretion, and ability to manage confidential information appropriately.
Advanced proficiency in Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel.
Strong interpersonal skills and a collaborative, service-oriented approach.
Ability to work independently, anticipate needs, and solve problems proactively.
Experience coordinating across internal teams and external partner organizations is strongly preferred.
Experience with Workday or similar ERP systems preferred

Experience:
10+ years of progressive administrative experience
Experience supporting senior executives in professional services (healthcare preferred)
Proven ability to manage multiple high-priority responsibilities in a fast-paced environment
Education:
Bachelor's degree preferred
