Job Description
We are looking for an Executive Assistant to provide high-level support to senior leadership. This contract opportunity with potential for a permanent role is ideal for someone who thrives in a fast-paced environment, exercises sound judgment, and keeps executive operations running smoothly. The person in this role will manage competing priorities, handle sensitive matters with discretion, and help drive communication and coordination across key initiatives.
Responsibilities:
• Oversee complex executive calendars by balancing meetings, strategic priorities, travel plans, and shifting business needs.
• Anticipate scheduling and administrative obstacles early and take action to keep leadership activities on track.
• Draft, proofread, and refine presentations, reports, correspondence, and briefing materials for executive review.
• Coordinate travel logistics and related arrangements to support efficient and seamless executive itineraries.
• Organize leadership meetings, board sessions, retreats, and special events, including agendas, materials, notes, and follow-up items.
• Serve as a central point of contact between executives, internal teams, and external partners to maintain clear communication and alignment.
• Handle confidential information with a high level of professionalism, accuracy, and discretion.
• Support planning efforts and special projects tied to leadership goals and organizational priorities.
• Recommend and coordinate improvements to executive administrative workflows and support processes across the organization.• Demonstrated experience supporting senior executives in a high-level administrative or executive assistant capacity.
• Strong calendar management skills with the ability to prioritize competing requests and changing deadlines.
• Proven ability to arrange and coordinate travel with strong attention to detail.
• Excellent written and verbal communication skills for preparing executive-facing materials.
• Experience coordinating executive meetings and managing logistics for high-visibility events.
• Strong organizational skills with the ability to manage multiple assignments independently.
• Ability to work with confidential information using sound judgment and professionalism.
