Administrative Assistant Manager

We are seeking a highly organized, proactive Administrative Assistant Manager to serve as the go-to person in a small, collaborative office environment. This role blends administrative leadership with hands-on operational support, including coordinating shipments and assisting with light production and printing tasks.

Responsibilities
  • Act as the primary point of contact for the office, including visitors and vendors
  • Manage office supplies, inventory, and ordering
  • Coordinate shipping and receiving activities
  • Oversee daily administrative operations and workflow
  • Support printing and production projects, including:
    • Training materials
    • Manuals
    • Client print jobs
  • Prepare and format materials for production
  • Operate equipment such as:
    • Large copiers
    • Paper cutters
    • Binding and finishing equipment
  • Assist with basic layout and graphics work
  • Utilize Microsoft Office and Salesforce for tracking and communication
  • Maintain organization in a fast-paced, hands-on environment

Qualifications
  • 2+ years of administrative assistant or office management experience
  • Strong customer service and communication skills
  • Comfortable supporting both administrative and hands-on operational tasks
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Experience in printing, copy centers, or production environments (e.g., FedEx Office, Kinko’s, Minuteman Press, print shops)
  • Experience with Salesforce
  • Familiarity with printing or finishing equipment
Work Environment
  • 📍 Onsite: 8:00 AM – 5:00 PM
  • 🧑️‍🤝️‍🧑 Team Size: ~3 people in office
  • 👔 Reports to: Director of Training Materials
  • 🏢 Collaborative, steady-paced, hands-on environment

This is a Contract position based out of Hudson, WI.

Pay and Benefits

The pay range for this position is $24.00 - $31.00/hr.
