Overview:
As a Referral Coordinator in a busy clinical setting, you will serve as a vital link between patients, clinical staff, and specialized healthcare providers. Your role will involve managing referral workflows, assisting patients with scheduling and information, and ensuring accurate documentation—all in a fast-paced office environment. This temporary position offers a chance to contribute to quality patient care while expanding your experience in healthcare administration.
Responsibilities:
Develop and maintain a trusted referral network, managing workflows and tracking systems to ensure timely processing of referrals.
Assist patients by providing clear information, answering questions, and helping schedule specialized services or appointments.
Review patient registration details for completeness and accuracy, including demographics and insurance information.
Gather pertinent clinical background and referral needs from patients.
Review and process referrals through the Electronic Health Record (EHR) system, ensuring all required documentation is complete.
Contact insurance companies to confirm prior approval requirements are met.
Coordinate with referred clinical specialists’ offices to schedule appointments and transmit necessary clinical information.
Communicate with patients and guardians via phone or email to remind them of upcoming appointments, and provide appointment details.
Update patient records and maintain documentation in compliance with legal and organizational standards.
Answer phones and manage correspondence, schedules, and electronic or paper filing systems.
Perform additional tasks as directed by management to support clinic operations and patient care quality.
Required Skills:
Bilingual fluency in English and Spanish (reading, writing, speaking).
Minimum of 1 year experience in healthcare, particularly with referral management or similar administrative roles.
Familiarity with Electronic Health Records (EHR), with preference for experience using NextGen Systems.
Basic computer literacy, including MS Office Suite and electronic database management.
Strong attention to detail, confidentiality, and organizational skills.
Excellent communication skills—verbal and written—to effectively interact with patients, providers, and insurance companies.
Ability to multitask and manage multiple priorities in a busy clinical environment.
Physical ability to lift up to 20 lbs and perform occasional bending or stooping as needed.
Nice to Have Skills:
Previous experience with healthcare workflows involving referral coordination.
Knowledge of insurance prior authorization processes.
Experience working with diverse patient populations or in community health settings.
Preferred Education and Experience:
High School Diploma or GED equivalent required.
Experience working with electronic health record systems, especially NextGen, is a plus.
Prior experience in clinical medical assisting, medical office assisting, or office administration within a healthcare environment.
Other Requirements:
Must maintain required immunizations, including TDAP (last 10 years), flu vaccine (administered September–April), Hepatitis B (3 doses), MMR (2 doses), Varicella (2 doses), and yearly TB testing.
Ability to work scheduled hours between 7 am and 5 pm CST, with possible periodic Saturday shifts.
Willingness to travel locally between clinic sites as needed.
Successful completion of a one-hour in-person interview with the call center manager.
