ESSENTIAL JOB DUTIES

  • Maintain complete, accurate, and organized laboratory records, including test reports, worksheets, sample documentation, calibration records, training records, and accreditation files.
  • Prepare, review, and submit required laboratory reports and supporting documentation to TxDOT and other agencies within established deadlines.
  • Compile and analyze laboratory and production data; identify trends, discrepancies, missing information, and results requiring follow-up.
  • Prepare Certificates of Analysis and other customer documentation using approved test results, specifications, and product information.
  • Assist with AASHTO accreditation activities, including document control, calibration and verification records, proficiency samples, corrective actions, and employee training records.
  • Maintain controlled laboratory procedures, ASTM, AASHTO, TxDOT, and company test methods, specifications, forms, and revision histories.
  • Coordinate samples, test results, approvals, and reports among laboratory personnel, operations, sales, customers, and regulatory agencies.
  • Provide administrative and personal-assistant support to the Laboratory Director, including calendar management, meetings, correspondence, task tracking, travel, and expense documentation.
  • Draft and format reports, letters, presentations, spreadsheets, meeting notes, and routine business correspondence while maintaining confidentiality.
  • Communicate effectively with laboratory/technical leadership and company functional teams, and perform other duties as assigned.
  • Experience with laboratory recordkeeping, quality systems, document control, regulatory reporting, or technical administration.
  • Familiarity with TxDOT, AASHTO, ASTM, ISO-style quality systems, or accreditation requirements.
  • Experience supporting a manager or technical department in an administrative or executive-assistant capacity.

REQUIREMENTS

  • Exceptional organizational skills, attention to detail, and ability to maintain accurate records while managing multiple deadlines.
  • Strong analytical and spreadsheet skills, including the ability to review data for completeness, consistency, and trends.
  • Good verbal and written communication skills, including preparation of reports, business correspondence, and customer documentation.
  • Ability to work independently, prioritize assignments, exercise sound judgment, and handle confidential information appropriately.
  • Proficiency with Microsoft Office, particularly Outlook, Excel, Word, and PowerPoint; ability to learn laboratory and document-management systems.

EDUCATION/EXPERIENCE
High school diploma or equivalent is required. An associate or bachelor's degree in business administration, laboratory science, quality management, or a related field is preferred. Two or more years of experience in technical recordkeeping, laboratory administration, quality documentation, or executive/administrative support is preferred.
