JOB SUMMARY
This position operates high volume duplicating equipment and performs associated copying tasks, ships and receives product and supplies, sorts, distributes, and handles incoming and outgoing mail/faxes, and applies necessary postage within a legal office environment. The role involves customer interaction, problem-solving, and managing various administrative and operational functions.

Key Responsibilities
- Operate high volume duplicating equipment and perform associated copying tasks.
- Ship and receive product and supplies.
- Sort, distribute, and handle incoming and outgoing mail/faxes.
- Apply necessary postage.
- Provide copier maintenance and/or repair of customer site equipment.
- Perform bindery, quality control, and final check.
- Provide housekeeping and file services.
- Act as a call center representative and perform reception duties.
- Perform various building support functions related to meeting setups and light maintenance.
- Run high volume copy machines and perform binding and finishing work.
- Ensure convenience copiers are working properly, checking for quality via daily inspections.
- Clear paper jams and inform technicians of specific problems when necessary.
- Handle highly sensitive and confidential documents that may be time sensitive.
- Maintain records for management reports and inventories of supplies needed.
- Distribute office supplies, fax transmissions, and mail to company personnel.
- Calculate charges for jobs performed and maintain billing logs.
- Respond to and coordinate all service calls required by customer.
- Perform filing duties in conjunction with specific customer requests.
- Deliver completed jobs to pre-determined customer locations within and outside of the site.
- Maintain daily meter and service logs.
- Answer customer questions regarding job status or feasibility.
- Ensure upkeep of convenience copier areas by keeping neat and well stocked.
- Perform duties related to the shipping and receiving of materials.
- Perform meeting room and conference room setups.
- Perform building occupant moves within assigned facilities.
- Perform re-lamping and light maintenance duties as assigned.
- Use shrink-wrap machine, paper cutter, hole driller, bindery equipment, jogger, tape machine, stackers, electric stapler, and scales.
- Use copier equipment, calculator, fax machine, postage meter, and PC.
- Perform filing duties, which may include purging and archiving old documents.
- Perform duties of scanning, file conversion, and file naming.
- Perform FTP (File Transfer Protocol) between computers and files for printing.
- Manage TOC (Table of Contents) for electronic files.
- Perform duties that involve OCR (Optical Character Recognition) files.
- Perform file formatting for printing/Excel files.
- Interact and provide professional level support to executive level end users.
- Perform quality accurate jobs/projects that may require tight deadlines.
- Assist with coordinating projects to be completed offsite.

Required Qualifications
- High school diploma or GED.
- 1-2 years of related work experience.
- Ability to provide an excellent customer experience.
- Strong customer service, personal, and communication skills.
- Knowledge and understanding of shipping/receiving procedures.
- Ability to work independently and flexibly to complete projects.
- Ability to determine correct method and packing material.
- Ability to check packing slips for accuracy of incoming materials.
- Ability to comprehend instructions concerning mail delivery.
- Troubleshooting and problem-solving skills.
- Ability to read and comprehend written technical information in the form of manuals, parts books, and related publications.
- Excellent customer relations skills.
- Excellent verbal communication skills.

Preferred Qualifications
- Minimum of 2 years of experience in the legal industry.
- Related copy job experience.
- Working knowledge of copier and other related equipment and repair.
- Basis electronics knowledge.
- Some related copy job experience.

Certifications
- May require valid driver’s license and minimum levels of auto insurance coverage.
