Position: Receptionist
Location: Manhattan.
Shift: Monday to Friday, 9:00 AM to 4:00 PM
Pay rate: $18/hr - $20/hr (weekly payment)
Scope of the Role:
Homebase provides eviction prevention and housing stabilization services to low-income New Yorkers. The Temporary Receptionist supports the program by answering incoming calls, responding to voicemails, providing information and follow-up referrals, and delivering excellent customer service to families and individuals contacting the program.
The Receptionist helps callers access screenings, intakes, case management, housing services, and referrals. This role also maintains detailed records and call logs to support a high-volume, high-demand program.
Essential Duties and Responsibilities:
- Efficiently handle incoming calls to the Homebase office, supporting follow-up activities and callers' customer service needs.
- Respond to voicemails and provide timely, accurate information and referrals to callers and stakeholders.
- Maintain detailed call logs and records to support seamless service delivery and prompt communication.
- Deliver high-quality customer service to individuals and families experiencing housing instability or crisis.
- Perform general clerical duties, including photocopying, faxing, mailing, filing, and arranging deliveries.
- Exercise discretion when handling sensitive information in accordance with HIPAA and agency guidelines.
- Manage internal and external communications using the phone system, voicemail, email, and other assigned methods.
- Handle a high-volume, multi-line phone system on a daily basis.
- Coordinate with internal and external stakeholders, including staff, clients, visitors, vendors, the Office Manager, and assigned program staff.
- Arrange, schedule, and coordinate services as directed.
- Prepare and edit communication logs.
- Support database management, including data entry into Excel and Electronic Health Records systems.
- File and retrieve documents and reference materials.
- Provide timely, accurate, and clear documentation according to established policies and procedures.
- Respond effectively to challenges, deadlines, and urgent situations.
- Respond to consumer needs promptly, accurately, courteously, and respectfully.
- Represent the organization in a positive and professional manner to external partners and resources.
- Support the organization's mission and values, and draw attention to behavior that undermines group effectiveness or is inconsistent with core values.
- Perform additional duties as assigned.
Required Education and Experience:
- High school diploma or equivalent required.
- Minimum of one year of experience in a human services or call-center setting.
- Some knowledge of or experience working in social services or a related field preferred.
- Computer literacy, including proficiency with Microsoft Word, Excel, and Outlook.
- Effective written and oral communication skills.
Preferred Qualifications and Skills:
- Excellent customer service skills.
- Spanish language proficiency preferred.
- Basic computer skills, including Microsoft Office and Windows.
