Job Description

The Purchasing Coordinator is responsible for procuring supplies, services, commodities, and equipment in line with company policies and procedures, emphasizing the use of minority vendors. This role involves preparing purchase orders, coordinating with suppliers and internal departments, and maintaining accurate procurement records to support multiple programs and locations within the company.

 

Responsibilities

  • Review purchase requests according to approved specifications.
  • Prepare bids and select vendors following established purchasing policies and procedures.
  • Consult catalogs and contact suppliers to obtain prices and specifications.
  • Prepare purchase orders, secure administrative and fiscal approvals, and send copies to suppliers and requesting departments.
  • Coordinate delivery of goods with suppliers and Program Directors.
  • Review delivery slips and verify supplier bills against bids and purchase orders.
  • Approve bills for payment and submit to the fiscal department.
  • Maintain records of purchases, transfers, prices, deliveries, inventories, and equipment leases.
  • Compute total costs of purchased items and follow up on late deliveries with suppliers.

 

Required Qualifications

  • Associate’s degree in Business Management or a related field, or equivalent purchasing experience.
  • Ability to prepare and interpret specifications, analyze bids, and maintain procurement records.
  • Strong interpersonal skills to establish and maintain effective working relationships with vendors, outside representatives, and Program Directors.
  • Computer literacy with proficiency in Excel.
