Assistant Project Manager
Commercial Interiors & Renovations | New York, NY
Position Overview
The Assistant Project Manager (APM) supports Project Managers in the day-to-day administration of commercial interior renovation and fit-out projects throughout the New York metropolitan area. This is an office-based role focused on project documentation, financial controls, subcontractor coordination, and owner/architect correspondence. The APM does not perform field duties; site supervision is handled by dedicated Project Superintendents.
Key Responsibilities
Project Documentation & Controls:
• Manage RFIs, submittals, change orders, ASIs, and bulletins through Procore, ensuring timely processing and accurate logs.
• Maintain drawing logs, specification sets, and document control across all active project records.
• Prepare and distribute meeting minutes for OAC, subcontractor, and internal coordination meetings.
Cost & Schedule Support:
• Assist the Project Manager with budget tracking, cost projections, and monthly cost reporting.
• Support preparation of monthly AIA G702/G703 requisitions and review of subcontractor pay applications.
• Coordinate with the project team on schedule updates and look-ahead planning.
Subcontractor & Vendor Coordination:
• Support buyout activities, including scope review, bid leveling, and contract preparation.
• Track subcontractor insurance, COIs, lien waivers, and compliance documentation.
• Coordinate procurement and expediting of long-lead materials.
Owner, Architect & Consultant Correspondence:
• Serve as a daily point of contact for owners, architects, and design consultants on document-driven matters.
• Draft and issue professional correspondence on behalf of the project team.
Closeout:
• Coordinate closeout deliverables including punch lists, O&M manuals, warranties, attic stock, and as-builts.
• Manage final billing reconciliations and project archive.
Required Qualifications
• 2–5 years of experience as an APM or Project Engineer at a commercial GC or Construction Management firm.
• Demonstrated experience on commercial interior renovation and fit-out projects (corporate office, retail, healthcare, hospitality, or amenity space).
• Procore proficiency is required — hands-on, day-to-day administrative use, not surface familiarity.
• Bachelor’s degree in Construction Management, Civil Engineering, Architecture, or a related field (or equivalent industry experience).
• Strong working knowledge of MS Office (Excel, Outlook, Word) and Bluebeam Revu.
• Excellent written and verbal communication skills.
• Strong organizational ability with the discipline to manage multiple projects and competing deadlines.
Preferred Qualifications
• Familiarity with AIA contract documents and standard NYC subcontractor agreements.
• Exposure to NYC DOB permitting, ACP-5/7, and Local Law compliance documentation.
• Prior experience working on projects with landlord-side and tenant-side stakeholders.
Work Schedule & Location
• Office-based at the firm’s Manhattan headquarters.
• Up to one (1) day per week of remote work available at the discretion of the Project Manager.
• Standard business hours; occasional extended hours during critical project phases.
Compensation
• Base salary up to $100,000, commensurate with experience.
