We are seeking a detail-oriented Administrative Assistant with experience in accounts payable, purchase orders, and administrative support.
This role focuses on document processing, invoice matching, vendor file management, and general office administration, supporting day-to-day business operations. The ideal candidate has experience with purchase order workflows, invoice processing, and high-volume data entry.
Key Responsibilities
Purchasing & Administrative Support
- Maintain and organize vendor files and purchasing records
- Assist with purchase orders (POs), including tracking and closing out completed orders
- Perform filing, document management, and records organization
- Support administrative tasks related to purchasing activities
Accounts Payable Support
- Assist with accounts payable tasks, including invoice processing and payment preparation
- Perform three-way matching of purchase orders, invoices, and receiving documents
- Scan, file, and organize check runs and payment records
- Set up and maintain vendor and customer files
- Ensure all documentation is accurate and ready for processing
General Administrative Support
- Perform data entry and document control for financial and operational records
- Maintain organized filing systems (electronic and physical)
- Assist with audit preparation and documentation support
- Handle general administrative tasks as needed
Qualifications
- 1+ year of experience in administrative assistant, accounts payable, or accounting support roles
- Experience with purchase orders (POs), invoice processing, or accounts payable workflows
- Familiarity with document matching (POs, invoices, receivers)
- Strong data entry and organizational skills
- Proficiency in Microsoft Excel and Office applications
- Ability to manage high-volume paperwork with accuracy and attention to detail
