About Us
We are an established print and marketing company in Fort Worth, Texas with a team of approximately 10 employees. We are seeking an experienced Senior Bookkeeper who can take ownership of our bookkeeping function, improve organization and processes, and provide accurate financial information that ownership can rely on.
This is not simply a transaction-entry role. We are looking for someone who can create and maintain an organized bookkeeping system that requires minimal supervision and supports effective business decision-making.
Position Summary
The Senior Bookkeeper will be responsible for maintaining accurate financial records, performing reconciliations, organizing supporting documentation, preparing monthly financial reports, and improving bookkeeping processes.
The ideal candidate has served as the primary bookkeeper for a small business and understands how to create structure, consistency, and accountability within the bookkeeping function.
Schedule
- Part-time (approximately 10–15 hours per week)
- Flexible schedule
- Some work must be performed during normal business hours
- On-site in Fort Worth, Texas
Software Requirements
- QuickBooks Online (required)
- Bill.com experience preferred
- Microsoft Excel proficiency required
Responsibilities
Daily / Weekly
- Enter vendor bills and expenses
- Record customer payments received through Bill.com, ACH, checks, and credit cards
- Maintain customer account records and prepare customer statements
- Maintain vendor records and W-9 documentation
- Organize and attach supporting documentation within QuickBooks Online
- Prepare checks and ACH payments for owner approval
Monthly
- Reconcile bank accounts
- Reconcile credit card accounts
- Review transactions for accuracy and proper classification
- Prepare Texas sales tax filings
- Produce monthly financial statements:
- Profit & Loss
- Balance Sheet
- Cash Flow Statement
- Assist ownership with financial reporting requests
- Support CPA requests and year-end preparation
Process Improvement
- Research and resolve bookkeeping discrepancies
- Improve bookkeeping workflows and internal organization
- Develop and maintain written bookkeeping procedures
- Identify opportunities to improve efficiency and accuracy
- Help create a bookkeeping function that requires minimal owner involvement
Qualifications
Required
- 5+ years bookkeeping experience
- Strong QuickBooks Online expertise
- Experience performing full-cycle bookkeeping for a small business
- Strong bank and credit card reconciliation experience
- Ability to research and solve accounting discrepancies independently
- Excellent organizational skills
- Strong attention to detail
- Excellent follow-through and accountability
Preferred
- Experience cleaning up disorganized books
- Experience documenting accounting procedures
- Experience improving bookkeeping processes
- Experience working directly with business owners
Not Required
- Accounting degree
- Print industry experience
- Payroll experience
- Inventory accounting experience
Success After Six Months
- Bookkeeping records are accurate, organized, and current
- Supporting documentation is consistently attached and maintained
- Bank and credit card reconciliations are completed accurately and on time
- Monthly close completed within 10 days
- Written bookkeeping procedures are documented and maintained
- Ownership and CPA can quickly access needed financial information
- Day-to-day bookkeeping has largely been removed from the owner's workload
Internal Controls
The Senior Bookkeeper may prepare checks and ACH payments but will not have authority to independently release funds. All payments require owner approval.
