We are seeking an experienced and highly organized Human Resources Manager with 3–5 years of progressive HR experience, with a strong emphasis on talent acquisition, onboarding, and multi-state employment compliance. This role will lead full-cycle recruitment efforts, manage new hire orientation and onboarding programs, ensure compliance with federal and state employment laws across multiple jurisdictions, and provide day-to-day HR support to managers and employees.
The ideal candidate is a proactive problem-solver with excellent communication skills, strong attention to detail, and the ability to build positive relationships while maintaining confidentiality and regulatory compliance.
Schedule: Full-Time, 36 Hours per Week (Four-Day Work Week – Monday through Thursday, Fridays Off) In office 3 days per week, must leave commuting distance to Cumberland Foreside, ME.
Essential ResponsibilitiesTalent Acquisition
- Lead full-cycle recruitment for exempt and non-exempt positions across multiple locations.
- Partner with hiring managers to develop recruiting strategies and identify staffing needs.
- Draft and post job advertisements across multiple recruiting platforms.
- Source, screen, and interview qualified candidates.
- Coordinate hiring manager interviews and candidate communications.
- Conduct reference checks and assist with employment verifications.
- Prepare and extend employment offers.
- Monitor recruiting metrics and recommend process improvements.
- Build and maintain candidate pipelines for future hiring needs.
New Hire Orientation & Onboarding
- Coordinate all pre-employment activities, including background checks and required documentation.
- Facilitate comprehensive new hire orientation programs.
- Ensure timely completion of I-9s, E-Verify (where applicable), and onboarding paperwork.
- Coordinate equipment requests, system access, and onboarding logistics.
- Serve as the primary HR contact for new employees during onboarding.
- Track onboarding completion and recommend improvements to enhance the employee experience.
Multi-State HR Compliance
- Maintain compliance with federal, state, and local employment laws across multiple states.
- Monitor changes in employment legislation and implement necessary policy updates.
- Assist with maintaining employee handbooks and HR policies.
- Ensure required workplace postings and notices are current and compliant.
- Support wage and hour compliance, leave administration coordination, and required recordkeeping.
- Assist with audits related to personnel files, I-9 documentation, and employment practices.
- Partner with leadership on compliance initiatives and HR best practices.
Employee Support & HR Operations
- Respond to employee questions regarding HR policies and procedures.
- Maintain accurate employee records and HRIS data.
- Assist with performance management processes and employee documentation.
- Support employee relations matters with professionalism and confidentiality.
- Assist with benefits administration and open enrollment activities as needed.
- Generate HR reports and maintain documentation for compliance purposes.
- Participate in HR projects and process improvement initiatives.
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- 3–5 years of Human Resources experience with significant recruiting responsibility.
- Experience managing full-cycle recruitment in a multi-state environment.
- Working knowledge of federal and state employment laws and HR compliance requirements.
- Experience conducting new hire orientation and onboarding programs.
- Familiarity with HRIS systems and applicant tracking systems (ATS).
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency with Microsoft Office Suite and HR technology platforms.
- SHRM-CP or PHR certification preferred.
- Experience in property management, real estate, or multi-site operations is a plus.
- Experience supporting remote or geographically dispersed workforces.
- Knowledge of leave administration and wage-and-hour compliance across multiple states.
