Job Description
The Maintenance Procurement Manager is responsible for managing the procurement of goods, materials, and services essential for the maintenance operations within our organization. This role involves sourcing, negotiating, and purchasing equipment, parts, and services to ensure the smooth functioning of maintenance activities. The Maintenance Procurement Manager plays a crucial role in optimizing costs, maintaining supplier relationships, and ensuring the timely availability of materials to support operational efficiency.
Key Responsibilities:
- Sourcing Suppliers:
- Identify, evaluate, and establish relationships with potential suppliers for maintenance-related materials and services.
- Maintain and manage relationships with existing suppliers to ensure a consistent and reliable supply chain.
- Negotiating Contracts:
- Negotiate contracts with suppliers to secure the best possible pricing, quality, and service levels.
- Ensure that all contracts align with company policies and objectives, including terms for delivery, payment, and performance.
- Managing Procurement Processes:
- Oversee the entire procurement process for maintenance needs, from initial sourcing to final delivery.
- Ensure all procurement activities comply with company policies and procedures.
- Cost Management:
- Monitor and control procurement costs to achieve budgetary goals and optimize spending.
- Identify opportunities for cost savings without compromising quality or service levels.
- Supplier Relationship Management:
- Develop and maintain strong relationships with suppliers to foster collaboration, resolve issues, and improve service delivery.
- Regularly evaluate supplier performance and implement improvements as needed.
- Risk Management:
- Assess and mitigate risks associated with the procurement of maintenance materials, such as supply chain disruptions or quality issues.
- Implement strategies to manage and minimize procurement risks.
- Inventory Management:
- Collaborate with inventory management teams to ensure optimal inventory levels, avoiding both stock-outs and overstock situations.
- Monitor inventory usage and coordinate with maintenance teams to anticipate future needs.
- Contract Administration:
- Administer supplier contracts, including managing renewals, amendments, and performance evaluations.
- Ensure all contracts are up-to-date and reflect current business needs.
- Data Analysis:
- Analyze procurement data and trends related to maintenance operations to identify opportunities for cost savings and process improvements.
- Provide regular reports and insights to management on procurement performance.
- Compliance:
- Ensure all procurement activities comply with legal and regulatory requirements, including ethical sourcing practices and supplier diversity initiatives.
- Maintain documentation and records to support compliance audits and reviews.
Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field and/or experience.
- Proven experience in procurement, ideally within a maintenance or warehousing environment.
- Strong negotiation skills and experience in contract management.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with suppliers and internal stakeholders.
- Proficiency in procurement software and tools.
- Strong analytical skills with the ability to interpret data and make informed decisions.
- Knowledge of inventory management practices and principles.
- Familiarity with legal and regulatory requirements related to procurement.
Working Conditions:
- Full-time position, primarily office-based with occasional visits to supplier sites or company facilities.
- May require some travel depending on supplier locations and business needs.
