Position Summary:
The Office Support Administrator will be responsible for overall office coordination and daily operational support in Charlotte Office. Ensuring an overall positive, organized, and professional experience for employees and visitors at the site
Responsibilities:
1. Tracking, ordering, and maintaining all office supplies and office needs
2. Supporting the onboarding set-up of new hires, including ensuring they receive a key fob and helping coordinate any special workspace or equipment needs
3. Managing relationships with cleaning services and other office vendors as needed
4. Serving as a daily in-office presence to ensure mail, deliveries, vendors, guests, and visitors are properly received and managed
5. Maintaining company vehicles and supporting office processes around them, including working with the Fleet team to ensure compliance and upkeep
6. Ensuring all maintenance and upkeep needs for the 5th floor are identified, escalated, and handled in a timely manner
7. Working with the landlord and future tenants to ensure building security compliance and functionality, including management of key fobs and access coordination
8. Acting as receptionist for the office, greeting visitors, answering calls, and supporting professional front-office experience
9. Assisting executives in the building with small administrative and operational projects as needed
10. Providing first-level troubleshooting for common office technology issues, such as TVs, monitors, conference room equipment, printers, docking stations, and other basic workplace tools
11. Assisting with basic computer support for employees, such as simple setup help, peripheral connections, password/reset coordination, and troubleshooting routine issues
12. Helping maintain conference rooms and shared spaces so they remain functional and meeting-ready
13. Escalating more advanced technical issues to the appropriate internal IT team or vendor when necessary
Working Relationships:
Works with all departments across the entire Westborough, MA Store Support Center and Charlotte, NC Office.
Requirements
Requirements:
Minimum Education: High School Diploma or Equivalent
Minimum Experience: 1+ Years in a professional office coordinator role
Preferred Experience: 2- 3 Years in a facilities management or office administrator role
Soft Skills:
- Strong organizational skills with the ability to manage multiple responsibilities and priorities throughout the day
- Excellent interpersonal and communication skills, with a friendly and professional demeanor
- Comfortable working independently in a small office environment
- Experience coordinating vendors, deliveries, office services, or facilities-related requests
- Basic technical aptitude and comfort handling simple office technology troubleshooting
- Strong attention to detail and follow-through
- Proficiency with Microsoft Office, email, calendars, and basic workplace systems
Other Requirements:
Travel: Local travel. Must have valid driver’s license.
Hours & Conditions: M-F 8am – 4:30pm with Flexibility.
Physical Requirements: Ability to maneuver and regularly lift and or move up to 10 pounds, frequently lift and/or move up to 25 pounds.
