Job Summary

We are seeking a detail-oriented, highly organized, and customer-focused Title Processor / Settlement Closer to join our team. In this dual role, you will manage the real estate closing process from start to finish. You will be responsible for processing title files, clearing requirements, preparing closing disclosures/ALTA statements, and conducting the final closing/signing with buyers, sellers, and agents.

The ideal candidate is a proactive problem solver who thrives in a fast-paced environment and understands that a smooth closing is the key to repeat business.

Core Responsibilities

1. Title Processing & Clearing

  • File Opening: Review new contracts, open title orders, and order necessary searches (tax assessments, lien searches, HOA estoppels, payoffs).
  • Title Review: Examine title commitments to identify liens, judgments, or title defects, and work proactively with underwriters, sellers, and agents to clear them.
  • Coordination: Act as the primary point of contact between real estate agents, lenders, buyers, and sellers to gather all required documentation.

2. Settlement & Closing Preparation

  • Collaboration: Work closely with mortgage lenders to balance figures and ensure compliance with TRID guidelines.
  • Document Preparation: Prepare Closing Disclosures (CD), ALTA Settlement Statements, deeds, transfer tax declarations, and final closing packages.
  • Funding Authorization: Request and verify wiring instructions, calculate prorations, and ensure all funds are accounted for prior to closing.

3. Closing Execution & Post-Closing

  • Conduct Closings: Lead the closing table discussion, explaining legal and financial documents (Deeds, Notes, Mortgages) to consumers clearly and professionally.
  • Notarization: Act as a Public Notary to witness and validate the execution of all loan and closing documents.
  • Disbursement & Recording: Disburse funds in accordance with the settlement statement, issue title policies, and submit documents for recording in local land records.

Skills & Qualifications

  • Experience: Minimum of 2 years of experience in title processing, escrow, or real estate settlement services.
  • Licensure: * Active Notary Public commission required (or willing to obtain within 30 days).
    • Optional: Active PA Title Insurance Producer / Escrow Agent License preferred not required
  • Software Proficiency: Experience with title production software (e.g., Qualia, Simplifile) and standard office suites.
  • Industry Knowledge: Deep understanding of TRID/RESPA guidelines, ALTA best practices, and local real estate conveyance laws.
  • Soft Skills: Exceptional communication skills, a high emotional intelligence (EQ) for managing stressful closing situations, and razor-sharp attention to detail.
