About the Role:
We are seeking a detail-oriented and proactive Commercial Coordinator to support our trading and commercial operations. This role plays a critical part in ensuring the smooth execution of purchase and sales transactions by managing documentation, coordinating logistics, and facilitating communication across internal teams and external partners.
The ideal candidate thrives in a fast-paced environment, enjoys working with data and processes, and takes ownership of ensuring accuracy and efficiency across transactions.
This role requires strong interpersonal and communication skills, as it serves as a key liaison across internal teams, vendors, and customers to ensure alignment and successful transaction execution.
What You’ll Do
• Create and manage purchase orders, ensuring alignment with pricing, terms, and contracts
• Review and reconcile purchase documentation and coordinate with accounting on payments (e.g., advance payments, letters of credit)
• Validate supplier invoices and ensure timely, accurate processing
• Generate and manage sales orders and supporting documentation
• Prepare profitability calculations for trader review
• Coordinate the full transaction lifecycle (contracts, proformas, payment terms, etc.)
• Monitor customer credit limits and escalate potential issues
• Maintain accurate customer and transaction data across systems
• Coordinate logistics activities, including shipment scheduling and freight arrangements
• Manage inspection documentation and work with third-party agencies
• Track and follow up on customer payments, including L/C transactions
• Maintain organized transaction files (electronic and physical)
• Serve as a key point of contact for internal and external stakeholders, building strong working relationships and ensuring effective collaboration
• Track agent commissions and maintain account records
• Support inventory tracking, shipment allocation, and material status updates
• Monitor overdue balances and assist with collections follow-up
• Ensure clear and consistent communication across stakeholders
What We’re Looking For:
Education & Experience
• Bachelor’s degree in Business, Supply Chain, Logistics, or related field preferred
• 2–5 years of experience in trade support, logistics, or commercial operations
• Experience with international trade documentation is a plus

• Strong attention to detail and accuracy
• Ability to manage multiple priorities in a fast-paced environment
• Excellent organization and time management skills
• Strong analytical and problem-solving abilities
• Strong written and verbal communication skills, with the ability to communicate effectively across cross-functional teams and external partners
• Proficiency in Microsoft Excel and ERP systems

Work Environment
• Fast-paced, dynamic work environment
• Primarily office-based with hybrid flexibility
• Occasional travel may be required
Compensation & Benefits
Salary Range: $70,000–$80,000
In compliance with California pay transparency requirements, a salary range is provided for this position. Final compensation will be based on experience, skills, and geographic location.
