POSITION SUMMARY:
The Asset Specialist is responsible for overseeing the lifecycle of COTA nonrevenue fleet assets, including utilization, GPS tracking, user compliance, record keeping, and removal from service at the end of usable life. This role involves data analysis, inventory management, and compliance with industry regulations to optimize fleet performance to maximize cost efficiency. This includes periodic audits to inspect vehicles, worked performed, and obtaining estimates for needed repairs.
Performs other duties in alignment with the COTA Strategic Plan and in support of the organization's vision to Move Every Life Forward.
ESSENTIAL JOB FUNCTIONS:
- Collaborates with Maintenance, Finance, and Operations teams to ensure asset availability and reliability;
- Monitors asset utilization, condition, and depreciation to support fleet planning decisions;
- Maintains an accurate database of all fleet assets, including vehicles, equipment, and related components; monitors warranty coverage and liaise with vendors for warranty repairs;
- Uses telematics and asset management software to provide insights on performance and efficiency; develops strategies to enhance asset longevity and reduce operational costs;
- Generates reports on fleet asset utilization, maintenance costs, and depreciation trends;
- Maintains service records database, including repairs, inspections, and parts inventory; and,
- Manages preventive maintenance to minimize downtime and extend vehicle life; assists in scheduling and prioritizing maintenance tasks to optimize fleet availability.
- Procures estimates for damage repairs;
- Ensures all fleet assets comply with regulatory standards, company policies, and industry best practices;
- Performs fleet inspections and repair audits; supports audits and reporting requirements related to asset management;
- Develops and implements tracking systems to ensure accountability and prevent asset loss.
- Maintains records for warranties, registrations, titles, and insurance.
- Serves as backup to Vehicle Specialist on accepting deliveries of new vehicles and retirement of older vehicles.
- Actively participate in industry conferences and events where representatives from multiple transit agencies convene to discuss trends and challenges related to electric and hydrogen vehicle implementation.
- Advocate for collaborative approaches to electric and hydrogen vehicle deployment, emphasizing the benefits of knowledge sharing and collective action in advancing sustainable transportation goals.
- Participate in industry forums and working groups to share insights and lessons learned from collaborative efforts with other transit agencies.
- Works at multiple COTA facilities across varying shifts and hours. Regular and punctual attendance required; and
- Performs other duties as assigned.
MINIMUM EDUCATION & EXPERIENCE REQUIRED:
- Requires a Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field and two (2) years' experience in asset management or fleet operations. An equivalent combination of education and relevant experience in related field will also be considered.
- Certification in asset management (e.g., CPAM, CFAM) or fleet operations preferred.
- Six Sigma desired.
