Job Description:

Addison Group is hiring on behalf of our client for an Administrative Assistant to support field operations and administration within a fast-paced construction environment. This role is responsible for overseeing employee timekeeping, maintaining workforce reporting, and coordinating communication between field teams and internal departments. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple priorities in a deadline-driven setting.


Key Responsibilities:

  • Oversee employee time tracking and assist with weekly payroll processing using internal timekeeping systems.
  • Review and validate daily labor entries, ensuring hours, job assignments, and project coding are accurate.
  • Maintain workforce and labor tracking spreadsheets in Microsoft Excel, including attendance, project assignments, and PTO records.
  • Communicate regularly with field personnel, payroll, and leadership through Microsoft Outlook to ensure timely updates and issue resolution.
  • Act as a point of contact between field operations and administrative departments to support efficient project coordination.
  • Support quality assurance documentation by organizing reports, uploading project files, and maintaining compliance records.
  • Assist with onboarding activities, including employee setup in timekeeping systems and coordination of orientation requirements.
  • Coordinate employee transfers between job sites and ensure all required documentation and reporting procedures are completed.
  • Prepare and maintain reports related to labor hours, workforce utilization, and project cost tracking for leadership review.
  • Provide administrative and operational support to project managers and site leadership as needed.
  • Organize and maintain digital documentation, including employee records, purchase orders, and project-related files.

Qualifications:

  • 3+ years of previous experience supporting payroll, workforce coordination, or administrative operations in construction or a related industry preferred.
  • Bilingual in English and Spanish.
  • Strong proficiency in Microsoft Excel and Microsoft Outlook.
  • Experience with timekeeping or payroll systems preferred.
  • Excellent organizational skills with strong attention to detail and accuracy.
  • Strong problem-solving skills and ability to handle confidential information professionally.
