JOB SUMMARY
The Payroll Bookkeeper reports to the Payroll Coordinator and is responsible for accomplishing the daily operations required to process payroll and time management for all Agency employees, including maintenance of agency payroll records.
ESSENTIAL JOB RESPONSIBILITIES
- Maintain telecommunication system by following manufacturer's instructions for phone and console operation, copiers and postage. Schedule repairs when needed.
- Maintain and manage department filing storages, both internal and external (Jack n Jeff Storage). Retrieve stored file boxes per department requests.
- Order office and general supplies as requested and allocate expenses to various departments and process Amazon/Quill orders as requested.
- Maintain breakroom, stock with general supplies as needed.
- Paycom CA Meal & Rest Premiums and Meal Waiver forms (6 hours or less)
- Receive Daily email Notification: CA Meal & Rest Premiums and Meal Waiver (6 hours or less)
- Go into Employee Docs: Open/Download forms by day (can be multiple)
- Go into Employee Timesheet: Add or Remove meal/rest premiums
- Email Employee and Supervisor if forms have been uploaded incorrectly. Delete and correct.
- Paycom Timesheet Corrections
- Audit timesheets daily for missing In/Out punches, duplicate punches and send emails to both employee and supervisor.
- Audit timesheets for accuracy of regular hours, overtime hours and alternative workweek schedules.
- Audit time off requests daily which include Paid Time Off, Sick Leave, Bereavement, Jury Duty and Leave Without Pay. Follow up with supervisors to approve or deny requests.
- Payroll Specialist Backup when needed.
- Assist with Monthly/Yearly audits.
- Enter wage garnishments and child support orders in payroll software.
- Maintain employee files using manual and/or automated systems.
- Audit and approve direct deposits changes, address changes, job changes and terminations in payroll system.
- Answer incoming calls. Direct calls to staff or departments through the Mitel system and cover receptionist desk for breaks and lunch when needed.
- Will think and act quickly and efficiently in emergencies.
- Will drive on Agency business.
- Physical presence at the program is required.
ESSENTIAL JOB REQUIREMENTS
- Ability to hold confidential information, exercise good judgement and demonstrate awareness of other people's needs.
- High school diploma or GED with 1-5 years of payroll experience preferred.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent organizational skills and attention to detail.
- Ability to effectively communicate throughout all levels in the organization.
- Self-motivated and inquisitive with a proven work ethic and proactive approach.
- Basic computer skills in Microsoft Word, Outlook and PowerPoint, Office 365, Teams,
- Zoom and other communication/meeting platforms.
- Basic in Microsoft Excel formulas, and comfortable managing and summarizing large data.
- Demonstrated ability to work well with all levels within an organization; ability to manage
- incoming requests quickly and professionally in a fast-paced environment.
- Demonstrated ability to manage multiple tasks simultaneously and able to react to shifting
- priorities to meet Company needs.
- Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
- Ability to pass a pre-employment criminal background check.
- Ability to pass a pre-employment drug screen.
