Bilingual Intake & Scheduling Coordinator

Position Overview

We are seeking a professional, organized, and customer service-oriented Bilingual Intake & Scheduling Coordinator to join our growing physical therapy clinic team. The ideal candidate is fluent in both English and Spanish, experienced in scheduling patients, and comfortable working in a fast-paced medical environment.

This position plays a critical role in ensuring patients receive excellent service from their very first interaction with our clinic.

Responsibilities

• Answer incoming phone calls professionally and courteously
• Schedule new patient evaluations and follow-up appointments
• Verify patient demographics and insurance information
• Assist patients with intake paperwork and clinic forms
• Communicate effectively with patients, attorneys, physicians, and case managers
• Maintain and update patient schedules within the EMR system
• Confirm appointments and follow up on cancellations or no-shows
• Coordinate referrals and obtain necessary documentation
• Provide exceptional customer service to all patients and visitors
• Maintain confidentiality and HIPAA compliance at all times
• Support clinic flow and front office operations

Qualifications

• Fluent in both English and Spanish (required)
• Previous medical scheduling or front office experience preferred
• Strong communication and organizational skills
• Ability to multitask in a busy clinical environment
• Experience with EMR/EHR systems preferred
• Professional appearance and positive attitude
• Reliable, punctual, and team-oriented
• Strong attention to detail

Preferred Experience

• Physical therapy or medical office experience
• Insurance verification experience
• Experience handling high call volumes
• Knowledge of basic medical terminology
