Our client a commercial cleaning company based in Woburn, MA is looking to hire a temporary bilingual Spanish Office Manager ASAP. The current Office Manager is going to be going on a maternity leave starting in August and will be out of the office through October/November timeframe. While she is OOO, the company will be going through a merger with two other companies and will be moving to a new office up in Andover, MA.


There might be an opportunity to join this company on a permanent basis even after their Office Manager comes back from the maternity leave.


This role is essential in ensuring the smooth operation of our office environment, managing administrative functions, coordinating events, supervising staff, and maintaining effective communication across departments. The ideal candidate will bring strong office management skills, excellent communication abilities, and experience in human resources and vendor relations. This position offers an opportunity to contribute to a dynamic organization while developing professional skills in a supportive environment.


Responsibilities Include:

  • Administration: Manage daily office operations, vendors, facilities, and front-desk reception.
  • Bookkeeping (QuickBooks): Handle accounts payable (AP), accounts receivable (AR), invoicing, collections, and account reconciliations.
  • Payroll & Compliance: Cross-train to back up the Payroll Administrator; maintain union rosters and submit required compliance reports.
  • Reporting: Generate operational and financial reports; support audits and documentation retention.


Qualifications Needed:

  • Experience: Prior experience in office management, payroll support, or bookkeeping.
  • Tech Stack: High proficiency in QuickBooks and MS Excel (ADP/UKG payroll platform experience is a major plus).
  • Skills: Solid grasp of basic accounting practices, union/labor compliance, and handling sensitive, confidential data.
  • Education: Associate’s degree or relevant professional certification preferred.
