Position Summary
The Medical Scheduling Coordinator is responsible for managing patient appointment scheduling, coordinating provider calendars, and ensuring efficient patient flow within the healthcare practice. This role serves as a primary point of contact for patients regarding appointments, referrals, and scheduling inquiries while maintaining excellent customer service and compliance with healthcare regulations.
Key Responsibilities
  • Schedule, reschedule, and confirm patient appointments for physicians and healthcare providers.
  • Coordinate patient visits, procedures, diagnostic testing, and follow-up appointments.
  • Verify patient demographic and insurance information prior to appointments.
  • Manage provider schedules to maximize efficiency and minimize scheduling conflicts.
  • Process referrals and obtain necessary authorizations as required.
  • Answer incoming calls and respond to patient scheduling inquiries in a professional and courteous manner.
  • Communicate appointment instructions, preparation requirements, and office policies to patients.
  • Maintain accurate patient records within the electronic medical record (EMR) system.
  • Monitor appointment cancellations and no-shows and assist with schedule optimization.
  • Collaborate with clinical and administrative staff to coordinate patient care needs.
  • Ensure compliance with HIPAA and organizational confidentiality standards.
  • Assist with front office duties and administrative projects as assigned.
Qualifications
  • 1-3 years scheduling, reception, medical insurance knowledge
  • Minimum of one (1) year EMR Products/Solutions
  • Knowledge of medical records/HIPPA requirements, insurance carrier requirements,
  • High School degree or equivalent
  • Knowledge of MS Excel, Word, Outlook and other desktop software programs
  • Strong communication, interpersonal relationship and patient empathy skills.
  • Excellent Customer Service skills
