Position Title: Shipping & Receiving Clerk
Pay Rate: $22.00 / hour
Job Type: Full-time
Position Summary:The Distribution Center Site Administrator plays a critical role in supporting the operational efficiency of our facility. In this role, you will manage administrative functions, coordinate with internal and external stakeholders, and ensure strict compliance with company policies.
This position requires strong organizational skills, sharp attention to detail, and the ability to collaborate seamlessly across departments—including Operations, HR, Safety, and Quality—with a strong emphasis on logistics and warehouse operations support.
Key Responsibilities: ? Procurement & Financial AdministrationPurchase Orders: Develop and manage purchase orders (POs) in alignment with site needs and budgetary guidelines.
Accounts Payable: Process transactions accurately and timely, ensuring proper documentation and approvals utilizing current systems.
Supply Management: Purchase site supplies in strict accordance with established processes and approvals.
Staffing Agency Liaison: Serve as the initial point of contact for contract employees; coordinate onboarding, scheduling, and general inquiries with multiple staffing agencies.
Operations Alignment: Collaborate closely with operations to ensure staffing levels and schedules align with logistics demands.
Timekeeping: Assist with timekeeping and payroll reporting, ensuring accuracy and timely submission to HR, payroll teams, and outside agencies.
Site Culture: Support employee engagement initiatives, including site events, recognition programs, and feedback collection.
Internal Comms: Manage and assist with site-wide communications, including bulletin boards, newsletters, and digital signage.
Metrics & Tracking: Track and report safety metrics, incidents, and compliance documentation in coordination with the Safety team.
Audits: Maintain records and assist with audits and inspections, focusing heavily on Distribution Center safety protocols and warehouse compliance.
Badging: Administer the site’s security badging system, including the issuance, tracking, and deactivation of badges.
Data Integrity: Maintain absolute confidentiality and integrity regarding employee and site data.
Leadership Support: Partner with site leadership (HR, Safety, Quality, Warehouse Supervisors, and Logistics Managers) to align administrative support with operational goals.
Daily Ops: Perform general administrative tasks such as scheduling meetings, maintaining records, ordering supplies, and welcoming site visitors.
Business Continuity: Support other distribution sites with similar administrative tasks as needed, and take on additional duties as assigned.
Experience: Proven experience in an administrative, operations clerk, or site coordination role (experience in a warehouse or distribution center environment is highly preferred).
Technical Skills: Familiarity with PO systems, payroll/timekeeping platforms, and safety reporting tools. Highly proficient in Microsoft Office Suite (Word, Excel, Outlook).
Soft Skills: Strong communication and interpersonal skills, with the ability to maintain professionalism and confidentiality.
Adaptability: Proven ability to manage multiple priorities and stay organized in a fast-paced environment.
