Job Description:
We are seeking a proactive and detail-oriented Administrative Assistant to support a team of professionals in a fast-paced office environment. This role will be responsible for coordinating schedules, managing travel arrangements, supporting office operations, and ensuring administrative processes run smoothly. The ideal candidate is highly organized, adaptable, and comfortable working with multiple personalities and competing priorities.
Key Responsibilities:
• Provide administrative support to a team of approximately 6-8 professionals
• Manage calendars, schedule meetings, and coordinate appointments across multiple stakeholders
• Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries
• Organize meetings, conference room logistics, catering, and other event-related details
• Prepare, edit, format, and distribute presentations, reports, and business documents
• Process expense reports and assist with various administrative workflows
• Serve as a liaison between internal teams, vendors, and external contacts
• Maintain organized records, files, and documentation
• Assist with office coordination and special projects as needed
• Anticipate team needs and proactively address administrative requests
Qualifications:
• 2+ years of administrative support experience
• High School Diploma or equivalent required
• Experience managing calendars and coordinating travel arrangements
• Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
• Strong written and verbal communication skills
• Excellent organizational and time management abilities
• Ability to work independently and manage multiple priorities simultaneously
• Professional demeanor and strong customer service mindset
• Experience supporting multiple individuals within a fast-paced environment
