Position Summary

The Clinical Coordinator coordinates daily clinical operations, including medical assistants, clinic workflows, surgical scheduling, and medication management support. This role ensures safe, compliant, and efficient clinical care while supporting providers in delivering evidence-based interventional pain management. The Clinical Coordinator partners closely with the Practice Manager to align clinical and administrative workflows, serving as the main operational link for the clinical floor.

Key Duties & ResponsibilitiesClinical Operations & Workflow Management
  • Direct Daily Clinical Workflow: Coordinate rooming, vitals, triage, procedures, injections, imaging support, and patient education.

  • Surgical Scheduling: Oversee all aspects of surgical scheduling to ensure optimal utilization and coordination.

  • Maximize Throughput: Optimize room and procedure-suite turnover while maintaining safety and quality.

  • Pre-Procedure Preparation: Coordinate imaging results, labs, pre-auths, medication holds, and patient instructions.

  • Athena Bucket & Message Management: Manage Athena clinical buckets alongside triaging urgent patient messages, results, and clinical questions to ensure timely provider follow-up.

  • Daily Huddles: Lead daily clinical huddles to review schedules, staffing, patient needs, safety issues, and potential workflow barriers.

  • Documentation & Templates: Oversee accurate, timely clinical documentation, optimizing clinical documentation templates and order sets to ensure completeness for coding and billing.

  • Front Desk Collaboration: Oversee front desk collection reports and workflow consistency to maintain an efficient transition from check-in to clinical care.

Pharmacy, Medication, and Inventory Oversight
  • Pharmacy Tech Supervision: Provide direct operational oversight, workflow management, and day-to-day supervision of the Pharmacy Technician (focusing on operational accountability, metrics, and adherence to practice SOPs rather than clinical/legal pharmacy licensure).

  • Pharmacy Operations & Vendor Liaison: Support general pharmacy operations, act as the pharmacy rep liaison, and co-manage the sample closet.

  • Controlled Substances: Ensure strict clinic compliance with controlled-substance handling, documentation, daily counts, and audit readiness. Maintain controlled substance logs, witness requirements, and DEA record accuracy.

  • Inventory & Purchasing Coordination: Manage and track clinical supply, medical supply, DME (Durable Medical Equipment) processes, and medication inventories. Review inventory accuracy and storage standards while routing all finalized purchasing requests to the Practice Manager for approval and ordering.

Floor Leadership & Clinical Competency
  • Staff Supervision & Coverage: Supervise and support the Medical Assistant team, including coordinating MA staffing, coverage, and managing daily schedule adjustments.

  • Training & Onboarding: Lead the training and onboarding protocols for both new and existing MAs, assisting in the development of standardized training protocols and clinical SOPs.

  • Staff Coaching: Coach and mentor staff on professional practice standards, clinical competency, and patient communication.

  • Compliance & Drills: Coordinate OSHA safety training, conduct mock codes/emergency drills, and ensure clinical staff maintain current CPR/BLS certifications.

Interdepartmental Collaboration & Quality Improvement
  • Administrative Liaison: Partner with the Practice Manager to seamlessly align administrative and clinical workflows, serving as an operational backup during approved absences to maintain clinic continuity.

  • Cross-Team Problem Solving: Lead cross-team initiatives with the front desk, prior authorization, and call center teams to actively resolve floor bottlenecks.

  • Quality & Chart Audits: Conduct routine chart audits to ensure documentation quality and regulatory compliance. Track core clinical KPIs such as room turnover times and on-time starts.

  • Language Support: Provide specialized Spanish-speaking support for NPCs (Non-Patient Contacts / New Patient Coordinates) as needed to assist clinical communication.
