Executive Administrative Assistant (Banking/Financial Services)
Location: New York, NY 10017 (390 Madison Avenue, 6th Floor)
Pay Rate: $43.00/hr W2
Duration: 2-Month Contract (Potential Extension and Conversion)
Schedule: Monday – Friday | Standard Business Hours
Work Arrangement: 100% Onsite (5 Days/Week)
Position Overview
We are seeking an experienced Executive Administrative Assistant to provide high-level administrative support within a fast-paced corporate environment. The ideal candidate will be proactive, highly organized, trustworthy, and capable of supporting senior executives while managing multiple priorities with professionalism and discretion.
This role requires strong calendar management, travel coordination, expense processing, and executive support experience. Candidates should be comfortable working onsite and handling a variety of administrative responsibilities with minimal supervision.
Key Responsibilities
- Provide executive-level administrative support to senior leadership and executives.
- Manage complex calendars, scheduling meetings, appointments, and conference calls.
- Coordinate domestic and international travel arrangements, including itineraries and logistics.
- Process and reconcile expense reports accurately and in a timely manner.
- Provide phone and Zoom meeting coverage and support.
- Handle mailings, correspondence, data entry, and document management.
- Assist with event coordination, project support, and special administrative initiatives.
- Maintain confidentiality while managing sensitive business information.
- Collaborate with internal teams and stakeholders to ensure seamless administrative support.
Required Qualifications
- 6+ years of Executive Administrative Assistant experience.
- Experience supporting multiple senior-level or C-suite executives.
- Advanced calendar management and scheduling experience.
- Expertise coordinating domestic and international travel arrangements.
- Experience processing expense reports and managing executive expenses.
- Strong organizational, communication, and multitasking skills.
- Proficiency with Microsoft Office Suite and virtual meeting platforms.
- Ability to work independently while supporting a collaborative team environment.
