Traveling Superintendent

Position Overview
We are seeking an experienced Traveling Superintendent to oversee and coordinate on-site operations across multiple project locations while managing corporate travel logistics and compliance. This role combines field supervision and travel program management: you will ensure safe, efficient project execution, direct on-site teams, and manage travel arrangements, supplier relations, risk mitigation and expense controls to support project needs and duty of care for travelling employees.

Key Responsibilities

  • Serve as on-site superintendent at client/project locations, supervising work activities, safety compliance, schedules and quality control while traveling as required.
  • Plan, book and manage complex travel itineraries for self and project teams, including flights, hotels, ground transportation and group/event travel coordination.
  • Manage travel policy compliance, fare construction and pricing, and ensure bookings follow company travel policies and budget constraints.
  • Oversee travel risk management and duty of care measures, including monitoring traveler safety, issuing travel advisories and coordinating emergency response when necessary.
  • Negotiate and manage relationships with travel suppliers (airlines, hotels, car vendors, ground handlers, travel agencies) and assist with supplier contracting to secure favorable terms.
  • Use global distribution systems and online booking tools to create and manage reservations and ticketing (Sabre, Galileo/Travelport, Egencia, other OBTs) where applicable.
  • Prepare, reconcile and manage travel expense reports using expense management platforms (Concur, Expensify) and ensure timely submission and approval.
  • Maintain accurate travel reporting and analytics to monitor travel spend, vendor performance and policy adherence; provide regular reports to project and finance stakeholders.
  • Support itinerary planning and group travel logistics for site mobilizations, meetings and events; coordinate ground transfers and accommodation blocks.
  • Provide strong customer service to traveling personnel and internal stakeholders; resolve booking issues, schedule changes and travel disruptions proactively.
  • Utilize Microsoft Excel and other tools to track schedules, budgets, vendor rates and travel metrics; produce summaries for senior management.

Qualifications

  • Proven experience as a Superintendent with hands-on field leadership on construction, engineering or project sites and a demonstrated ability to travel frequently for assignments.
  • Excellent knowledge of on-site supervision, safety protocols, scheduling, quality control and stakeholder communication.
  • Practical experience managing travel logistics and traveler support for field teams, including itinerary planning, group travel coordination and supplier liaison.
  • Familiarity with fare construction & pricing and IATA regulations or comparable airline/ticketing knowledge.
  • Experience with travel risk management, duty of care programs and coordinating emergency response for travelers.
  • Proven ability to negotiate with suppliers and manage vendor contracts and service levels.
  • Proficiency with expense management systems (Concur, Expensify) and strong experience preparing and reconciling travel expenses.
  • Working knowledge of global distribution systems and online booking tools (Sabre, Galileo/Travelport, Egencia, other OBTs) is highly desirable.
