About the Role:
The Order Entry Associate plays a critical role in ensuring the accuracy and efficiency of processing customer orders within the organization. This position is responsible for entering orders into the company’s ERP system, verifying order details, and coordinating with various departments to ensure timely fulfillment. The associate acts as a key liaison between customers, sales teams, and fulfillment centers to resolve any discrepancies or issues that may arise during order processing. By maintaining meticulous attention to detail and adhering to established procedures, the Order Entry Associate helps to enhance customer satisfaction and operational productivity. Ultimately, this role supports the seamless flow of orders from receipt to delivery, contributing directly to the company’s overall success and customer retention efforts.
Minimum Qualifications:
- High school diploma or equivalent.
- Proficiency with data entry and order management software.
- Strong attention to detail and accuracy in handling numerical and textual information.
- Basic computer skills including familiarity with Microsoft Office applications.
- Effective communication skills to interact with internal teams and customers.
Preferred Qualifications:
- Previous experience in order entry, customer service, or administrative roles.
- Experience with ERP or CRM systems such as SAP, Oracle, or Epicor.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Knowledge of inventory management and supply chain processes.
Responsibilities:
- Answer phones and help direct calls to the appropriate personnel.
- Accurately enter customer orders into the ERP system in a timely manner.
- Verify order details including part numbers, quantities, pricing, and customer information to ensure accuracy.
- Communicate with sales representatives and customers to clarify order details and resolve discrepancies.
- Coordinate with inventory and shipping departments to confirm product availability and delivery schedules.
- Process credit card payments.
- Maintain organized records of orders and update order status as needed throughout the fulfillment process.
- Assist in identifying process improvements to enhance order entry efficiency and accuracy.
- Respond promptly to inquiries related to order status and provide excellent customer service.
Skills:
The required skills such as data entry proficiency and attention to detail are essential for accurately inputting and verifying order information daily, minimizing errors that could impact customer satisfaction.
