Job Description:
Cybersecurity Organization (CO) is seeking a highly organized and detail-oriented Business Operations Analyst to provide staff augmentation support to the lead financial analyst for the Cybersecurity organization. This role will directly support the lead analyst with managing budget activities, financial tracking, procurement coordination, reporting, and day-to-day administrative financial processes across the Cybersecurity Organization.
The ideal candidate will help maintain budget documentation, track spending, support procurement and purchase order workflows, prepare recurring reporting materials, and assist with coordination across finance, vendors, and internal stakeholders. This role is intended for a flexible, capable analyst who can step in quickly, provide dependable execution support, and help ensure the Cybersecurity Organization's financial operations run smoothly and on schedule.
Key Job Responsibilities:
Financial Governance Support:
- Support the lead cybersecurity financial analyst in preparing materials for spend governance reviews, tracking action items, and maintaining documentation related to enterprise cybersecurity initiatives and budget decisions.
Budget Management Support:
- Assist with budget tracking, spend monitoring, forecasting support, headcount and vacancy tracking, and updates to budget worksheets and tracking tools.
- Help prepare inputs for weekly and monthly budget reviews and follow up on outstanding requests to support timely resolution.
Financial Analysis Support:
- Assist in gathering, organizing, and validating financial data tied to cybersecurity initiatives.
- Help prepare summaries, supporting analysis, and draft materials used to align spending with organizational priorities and business objectives.
Accrual and Prepaid Support:
- Assist with accrual tracking, monthly prepaid account monitoring, and supporting documentation to help ensure accurate financial reporting and timely month-end close activities.
Accounting and Documentation Support:
- Help prepare financial support materials, organize required documentation, and assist with reviewing processes needed for accounting, compliance, and internal governance activities.
Resource and Billing Coordination:
- Assist with tracking contractors and resource billing information, maintaining related records, and coordinating with internal administrative and financial teams to help ensure charges are accurate and timely.
- Purchase Order and Procurement Support:
- Assist with purchase order tracking, submission follow-up, and coordination with vendor management, supplier management, and internal stakeholders to help move requests through the process efficiently.
Quote and Vendor Support:
- Assist with collecting quotes from vendors, resellers, and manufacturers, organizing cost information, and helping prepare inputs used to evaluate estimated costs for cybersecurity-related purchases and renewals.
Special Projects Support:
- Provide support on special projects, ad hoc financial requests, and research activities as needed, including gathering information that may support tax, budget, or reporting-related requests.
- Team and Stakeholder Support: Serve as a responsive day-to-day support resource for budgeting, reporting, and financial coordination needs within the Cybersecurity Organization while building effective working relationships across finance, technology, business partners, and vendors.
Requirements and Qualifications:
- Experience supporting budget management, financial planning and analysis, reporting, or accounting processes, preferably within a technology, cybersecurity, or similarly complex business environment.
- Ability to work with financial data, prepare basic analyses, and support reporting tied to business priorities, budgets, and operational needs.
- Excellent verbal and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
- Demonstrated ability to build strong relationships within the company and industry, as well as with vendors/suppliers.
- Effective written communication skills that can proficiently tell a financial story utilizing tools such as PowerPoint.
- Exceptional organizational and multitasking abilities and strong attention to detail.
- Excellent analytical and problem-solving skills with demonstrated ability to conceive and present creative solutions.
- Ability to work independently on assigned tasks while also taking direction well in a fast-paced, team-oriented environment.
- Proficiency in financial software and tools, such as Excel, SAP, Oracle, or similar platforms.
- Experience supporting financial operations, budget administration, procurement coordination, or related business functions is preferred.
- Experience supporting projects, coordinating tasks, and managing deadlines across multiple workstreams is preferred.
- Must pass NERC CIP & Insider Threat Protection background checks.
