Job Description

We’re looking for an Administrative Project Coordinator (Data & Client Operations) to join our Client Coordination team in Martinez, CA. This role is ideal for a detail-oriented professional who enjoys working with data, managing multiple projects simultaneously, and collaborating with clients, executives, and internal teams to ensure successful project execution.

Local candidates only. This is an on-site position in Martinez, California.

 

Key Responsibilities

  • Coordinate and track direct mail and marketing projects from start to finish.
  • Manage project timelines, deliverables, approvals, and status updates.
  • Support client accounts and internal departments through project administration and reporting.
  • Prepare, manipulate, validate, and maintain large data files using Microsoft Excel.
  • Create and update spreadsheets using formulas, lookup functions, reference codes, filters, and PivotTables.
  • Perform quality control checks to ensure data accuracy and project compliance.
  • Communicate professionally with clients, executives, vendors, and internal teams.
  • Maintain project documentation, records, and reporting.
  • Identify issues proactively and work collaboratively to resolve them.
  • Assist with process improvement initiatives and operational efficiencies.

 

Required Qualifications

  • 5+ years of professional work experience in project coordination, client services, operations support, administrative coordination, or a similar business environment.
  • Advanced Excel proficiency, including formulas, PivotTables, lookups (VLOOKUP/XLOOKUP), filtering/sorting, and working accurately with large datasets.
  • Experience collaborating directly with clients and/or executives/senior leadership.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Clear written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to work independently while contributing to a collaborative team environment.

 

Preferred Qualifications

  • Familiarity with QuickBooks, CRM systems, client portals, or project management software.
  • Experience working with cross-functional teams across operations, production, finance, and client services.

 

Compensation & Benefits

  • $60,000–$70,000 annually, DOE.
