Job Description
A well-established high-end residential construction firm is seeking a detail-oriented Project Administrator to support its project management team with billing, document control, and administrative coordination on active construction projects.
This role is ideal for someone who enjoys organization, accuracy, and keeping projects running smoothly behind the scenes. The successful candidate will bring prior construction administration experience and be able to contribute immediately in a fast-paced project environment.
Responsibilities
- Support the project team with monthly billing and requisitions, including assembling and processing pay applications and supporting documentation.
- Process and track subcontractor invoices, purchase orders, and change orders while maintaining accurate project logs.
- Collect, track, and maintain subcontractor compliance documentation, including Certificates of Insurance (COIs) and lien waivers.
- Enter, organize, and maintain project information using Microsoft Excel and project management software.
- Maintain project files and document control systems, including scanning, filing, distribution, and record keeping.
- Coordinate routine communication and administrative follow-up with subcontractors, vendors, and internal team members.
- Provide general administrative support to Project Managers and project teams as needed.
Qualifications
- Prior administrative experience in construction, engineering, architecture, or a related project-based environment required.
- Hands-on experience with construction billing processes, including requisitions, pay applications, subcontractor invoices, change orders, lien waivers, and COIs.
- Some prior experience with Submittals, RFIs, and RFPs needed
- Strong proficiency in Microsoft Excel.
- Experience with Procore is preferred.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Reliable, process-oriented, and capable of managing multiple deadline-driven tasks with accuracy and consistency.
