Job Description

The Leave and Accommodations Consultant serves as the primary point of contact for employees navigating leaves of absence and workplace accommodations across the United States. This role provides end-to-end case management for a high volume of complex leave cases, ensures compliance with federal, state, and local regulations, and delivers a consistent, positive employee experience. The consultant partners closely with third-party leave administration vendors, payroll, benefits, and HR teams, while also contributing to operational projects, process improvements, and the development of tools and resources that support a scalable and compliant leave and accommodations program.

Responsibilities

  • Administer end-to-end leave of absence cases, including FMLA and other statutory leaves, in partnership with third-party leave administration vendors, ensuring compliance with federal, state, and local regulations.
  • Serve as a knowledgeable and consultative point of contact for employees and managers on leave and accommodation processes, timelines, documentation requirements, and return-to-work planning.
  • Partner with internal teams such as Payroll, Benefits, and People Business Partners to resolve eligibility questions, escalations, and issues related to timing, pay, and leave calculations.
  • Monitor leave and accommodation cases to ensure accurate data entry, timely processing, and adherence to established service level agreements (SLAs).
  • Track and report on leave metrics, trends, and operational performance to support compliance, risk mitigation, and continuous improvement initiatives.
  • Manage a high-volume caseload, processing approximately 20–30 new leave cases weekly while overseeing hundreds of employees across all 50 states.
  • Apply deep knowledge of leave payroll operations to ensure accurate leave pay calculations and alignment with payroll processes and integrations.
  • Support accommodations case management, particularly in tech or office-based environments, by navigating complex and grey-area requests, including work-from-home arrangements and nuanced limitations or restrictions.
  • Collaborate with third-party leave vendors to ensure consistent and compliant administration, resolve complex issues, and optimize vendor performance.
  • Contribute to leave-related process improvement initiatives and operational enhancements that improve efficiency, compliance, and employee experience.
  • Develop, update, and maintain LOA playbooks, templates, job aids, and training materials to standardize practices and support internal stakeholders.
  • Participate in cross-functional projects related to leave administration, including vendor optimization, payroll integration, audits, and compliance reviews.
  • Support ad-hoc projects and initiatives within People Solutions Specialized Services, HR operations, or related functions as needed.
  • Communicate clearly and professionally with employees, managers, and business leaders, providing guidance, education, and support on leave and accommodation policies and procedures.
  • Collaborate closely with team members in leave and accommodations to share best practices, ensure consistent application of policies, and foster a customer-focused, collaborative culture.

Essential Skills

  • 4+ years of experience in Leave and Accommodations where this has been the primary responsibility, not a partial or occasional component of the role.
  • Hands-on experience in HR operations, leave management, or accommodation programs, including payroll-related leave processes.
  • Strong, practical knowledge of FMLA and other statutory leave requirements across federal, state, and local jurisdictions.
  • Knowledge of ADA and Title VII compliance requirements and how they apply to leave and accommodations programs.
  • Deep understanding of leave payroll operations, including how leave pay is structured, calculated, and processed.
  • Proven ability to manage high-volume, complex leave and accommodation cases across multiple states and jurisdictions.
  • Strong organizational skills with the ability to prioritize, track, and resolve numerous cases and tasks simultaneously.
  • Excellent verbal and written communication skills, with experience working closely with business leaders, managers, and employees.
  • Demonstrated consultative approach when advising on leave and accommodations, including complex scenarios such as STD, maternity leave, and parental leave.
  • Ability to work effectively with third-party leave vendors and internal partners such as Payroll, Benefits, HRIS, and People Business Partners.
  • Strong attention to detail and accuracy in case documentation, data entry, and reporting.
  • Customer-focused mindset with a collaborative approach to problem solving and continuous improvement.

Additional Skills & Qualifications

  • Bachelor’s degree combined with 4+ years of leave administration experience is preferred.
  • Experience in large corporate environments, particularly in big tech, fintech, banking, or financial services, is a significant plus.
  • Familiarity with payroll processes and payroll system integrations related to leave is highly desirable.
  • Preferred experience working in a tech or office-based environment on accommodations, especially navigating work-from-home requests and complex business needs where limitations and restrictions are not straightforward.
  • Experience using HRIS platforms such as Workday is a plus.
  • Experience using case management or workflow tools such as ServiceNow is a plus; comparable software tools are also acceptable.
  • Experience supporting process improvement and continuous improvement initiatives within HR, leave administration, or accommodations programs.
  • Comfort working with and optimizing third-party leave vendors, including understanding vendor capabilities and escalation paths.
  • Exposure to banking, financial industry, or fintech environments and related HR, payroll, and compliance practices is beneficial.
  • Ability to interpret and apply federal disability laws, including ADA and FMLA, in practical, real-world scenarios.
  • Strong analytical skills to interpret leave data, identify trends, and support operational reporting.

Work Environment

This role supports a large, corporate environment with modern, state-of-the-art facilities in North Austin, including multiple office buildings designed to provide a comfortable and engaging workplace. The position follows a hybrid schedule, typically working in the office Tuesday through Thursday and remotely on Monday and Friday. The team prefers candidates who can work in or near Austin alongside the payroll team, but is open to a fully remote arrangement for an exceptional candidate who can work core Central Time hours. The work environment emphasizes collaboration and connection, with amenities such as snacks and on-site activities that make the office an enjoyable place to work. The Leave and Accommodations Consultant will be part of a structured team, including a dedicated accommodations team (with analysts and contractors) and a leave of absence team spanning Austin and Bangalore, with additional headcount being added to both teams. The role is structured as a four-month contract with the possibility of extension, and is designed to support high-volume, complex leave and accommodation needs in a fast-paced, corporate setting.

Pay and Benefits

The pay range for this position is $26.00 - $34.50/hr.
