NOW HIRING: Dispatcher / Assistant Office Manager

1-Tom-Plumber Louisville is looking for a highly organized, customer-focused Dispatcher / Assistant Office Manager to help lead our office operations and support our growing team.

This is more than a dispatcher position. We're looking for someone who can manage multiple priorities, build strong customer relationships, support our technicians and sales team, and help improve processes as our company continues to grow.

Key Responsibilities:

  • Act as Lead Dispatcher for both day, night, and weekend operations
    Provide guidance and support to our nighttime/weekend dispatcher and assist with training future dispatchers
    Answer customer calls, book appointments, and build rapport with residential and commercial customers
    Maintain accurate customer records, billing contacts, property information, and account notes within ServiceTitan
    Work with facility maintenance companies that schedule service online
    Collaborate closely with sales representatives to ensure customers are well-served and jobs are booked promptly
    Respond to website inquiries, Google Business Profile leads, Local Service Ads (LSA), and AI-generated bookings while maintaining an 80%+ booking rate
    Manage and maintain the dispatch board to ensure technicians are running efficiently and on time
    Monitor technician productivity and maintain daily performance records
    Track technician locations and assist when scheduling adjustments are needed
    Monitor the company email inbox, process supply house invoices, attach materials to jobs, and enter invoices into QuickBooks
    Receive payments, build deposits, review and batch jobs for export, assist with commercial billing, and follow up on residential estimates
    Monitor all communications and properly classify incoming calls
    File gas water heater permits and coordinate inspections with customers
    Assist with ServiceTitan functions and job reviews
    Cover phones during evenings and weekends as needed
    Help streamline office processes and create best practices as the company grows
    Other duties as assigned

Ideal Candidate:

  • Strong customer service and communication skills
    Exceptional organizational and multitasking abilities
    Comfortable managing multiple systems and priorities simultaneously
    Positive attitude and problem-solving mindset
    Experience with ServiceTitan, QuickBooks, dispatching, or the home service industry is preferred

Salary: $55,000$60,000 based on experience
