Job Description
Key Responsibilities:
Patient Coordination & Communication:
· Serve as a primary point of contact for patients, caregivers, and family members via phone, email, patient portal, and in-person communication.
· Greet and assist patients professionally while ensuring a welcoming patient experience.
· Coordinate new patient intake, follow-up appointments, imaging appointments, procedures, and referrals.
· Communicate appointment instructions, preparation requirements, and follow-up care information to patients.
· Assist with obtaining medical records, imaging, pathology reports, and outside provider documentation.
· Support patients with questions related to treatment plans, scheduling, and general office workflows.
· Escalate urgent patient concerns or clinical matters to the appropriate provider or clinical staff member.
Scheduling & Administrative Duties:
· Schedule and coordinate patient appointments across multiple providers, facilities, and services.
· Manage provider schedules while ensuring efficient patient flow and minimizing scheduling conflicts.
· Coordinate referrals to specialists, infusion services, imaging centers, laboratories, pharmacies, and outside healthcare facilities.
· Verify insurance eligibility, authorizations, and referral requirements when applicable.
· Assist patients with general billing inquiries and direct complex issues to the billing department as needed.
· Maintain accurate patient demographics, insurance information, and documentation within the EMR system.
· Monitor incoming emails, faxes, patient portal messages, and voicemails to ensure timely follow-up.
Clinical & Operational Support
· Maintain HIPAA compliance and protect patient confidentiality at all times.
· Assist clinical staff with administrative coordination related to patient care.
· Ensure patient records and documentation are complete, accurate, and organized.
· Support coordination of outside testing, laboratory services, and imaging requests.
· Participate in office workflow improvement initiatives and team meetings.
· Maintain professionalism and compassion when handling sensitive patient situations.
