We are currently seeking a Patient Services Representative to join our Herndon office. This position plays a vital role in creating a positive experience for our patients and families by serving as the first point of contact and providing administrative support that keeps our practice running smoothly.
ScheduleMonday–Friday, 8:15 AM – 5:00 PM
New Hire Orientation Requirement:
All new employees are required to attend New Hire Orientation during their first week of employment. Orientation is held Monday–Friday from 9:00 AM – 4:30 PM and attendance is mandatory.
As a Patient Services Representative, you will help ensure every family receives excellent service from the moment they contact our office.
Key responsibilities include:
- Greet patients, families, and visitors and serve as the first point of contact for the practice.
- Schedule appointments and manage patient intake using our electronic medical record system (Athena).
- Receive and respond to inbound phone calls, emails, and text communications from patients and families.
- Collect copays, account payments, and payments for supplies while accurately posting transactions to patient accounts.
- Maintain patient records and ensure adherence to established scheduling, registration, and recordkeeping procedures.
- Partner with clinical staff to coordinate patient care and support efficient office operations.
- Conduct outreach to patients and families regarding preventive care, well visits, immunizations, and chronic care management needs.
- Support overall office operations through administrative and other duties as assigned.

- Minimum of one (1) year of front desk, patient services, medical office, or healthcare administrative experience required.
- Experience with electronic medical records (EMR); Athena experience preferred.
- High school diploma or equivalent required.
- Proficiency with Microsoft Office and general computer applications.
