Job Title: Administrative Assistant
Client: Heavy Machine Manufacturing Company
Duration: 2 Years
Location: Moline, IL 61265
Shift: 1st Shift
Key Responsibilities:
• Provide high-level administrative support to managers, supervisors, or department leadership
• Schedule meetings, maintain calendars, coordinate conferences, and arrange travel plans
• Prepare letters, emails, meeting minutes, reports, presentations, and other business documents
• Gather, maintain, analyze, and summarize confidential data for reports and special projects
• Manage departmental records, databases, systems, and documentation to ensure accuracy
• Respond to internal and external inquiries and resolve issues or escalate as needed
• Coordinate communication between leadership, departments, customers, and external contacts
• Assist with procurement and purchasing-related administrative activities
• Maintain department files, records, and sensitive documentation
• Track follow-up items, manage workflow, and support project coordination activities
• Receive visitors and manage incoming phone calls and communications professionally
• Support reporting, data validation, and discrepancy resolution activities
• Utilize Microsoft Office applications and departmental systems to support daily operations
Required Skills:
• Strong Microsoft Office skills, especially Excel
• Administrative support experience
• Calendar management and meeting coordination
• Travel arrangement and event coordination experience
• Strong written and verbal communication skills
• Data entry, reporting, and document preparation
• Organizational and time management skills
• Ability to handle confidential information professionally
• Attention to detail and accuracy
• Customer service and stakeholder communication skills
Preferred Qualifications:
• SAP experience
• Experience supporting managers, directors, or department leadership
• Experience with procurement or purchasing support activities
• Experience preparing reports and analyzing data
• Associate's or Bachelor's degree preferred
• Recent graduates with strong administrative and technical skills will be considered
