Scope:

Reporting to the Human Resources Officer, the Human Resources Specialist is responsible for providing HR support to the entire bank staff and handling the HR administrative functions. Specific responsibilities include recruitment, benefit administration, education coordination and other functions of human resource management. Will work closely with the Director of Learning & Development on Education related matters and events to reach the Learning & Development Department goals and objectives.

Accountabilities:

Human Resources Administration: 45%

  • Perform initial screening of and initial interviews with candidates.
  • Initiate all applicable pre-employment screenings and pre-employment assessments.
  • Conduct new employee orientations; conduct reference checks and exit interviews.
  • Help maintain company organizational charts and employee directory.
  • Maintain and interpret HR policies and procedures for all staff.
  • Register users and maintain NMLS database, site administration.
  • Assist with time off and employee clocking changes as necessary through payroll system. 
  • Maintain Separation of Duties calendar.
  • Assist with timecard changes and PTO requests.
  • Coordinate annual flu shots for employees.
  • Act as a liaison between benefit provider and employees when questions or concerns arise.
  • Maintains and models effective communication, both written and verbal. 
  • Provide outstanding customer service to the entire bank.

Education Coordination: 40%

  • Responsible for coordinating training including but not limited to All Staff meetings, Supervisor trainings, new hire orientation, etc.  This includes both in-house and out-sourced training for all personnel.
  • Arrange the booking of trainers, venues, travel, accommodation and facilities for Educational events along with materials, classroom setup, A/V support, registrations, etc.
  • Provide administrative support to staff and managers in the planning and delivery of L&D events and strategy.
  • Oversee BAI online learning site, maintaining all records, updating personnel and staying up to date on changes in courses.
  • Maintain record of all internal and external educational opportunities completed by staff.
  • Compile reports for various audit purposes as needed.

Personnel Handbook Committee: 10%

  • Provide support of committee Chair/Co-Chair
  • Assist with meetings annually as needed.
  • Record minutes from each meeting and provide to committee Chair in a timely manner for distribution to committee members.
  • Ensure all policies are up to date on Intranet.

Other:  5%

  • Perform any necessary governmental reporting related to HR and Education as requested.
  • Active involvement in key community, banking and civic organizations and activities, as appropriate, to represent the bank in the community.
  • As part of the overall team of bank employees, this position may be requested to assist in the support of other bank activities.

The capacity to manage one’s own work, outline overall project plans, determine necessary steps for its completion and delegation of tasks to the appropriate staff to ensure the project is finished accurately, on time and within budget.  Must have the ability to set targets, develop action plans, and measure results against the defined target goals.  The ability to prioritize tasks to make the best use of time for high priority tasks is vital.  Makes prudent decisions; creates policies and procedures; provides managerial direction and leadership at a high level of accountability.  Seeks opportunities to develop personal abilities.

Education and Special Requirements:

  • Two- or four-year degree from an accredited institution.
  • 3-5 years HR experience and/or related experience and/or training.
  • Specialized training in human resources related school, etc. (i.e. ABA Human Resources School, SHRM certification of PHR/SPHR, GSB HR Management School) preferred but not required.
  • This job requires skills needed in a typical office environment.  This includes communications skills, computer skills such as, but not limited to Word and Excel as well as utilization of typical office equipment.

Physcial Requirements

  • Ability to remain in a stationary position (e.g., standing or sitting) for extended periods.
  • Frequent use of hands and fingers for data entry and operating office equipment.
  • Visual acuity to read documents, computer screens, and currency.
  • Manual dexterity for typing and handling paperwork.
  • Travel to other bank locations.
