As our practice continues to grow across Nassau and Suffolk Counties, we are seeking an experienced, compassionate, and highly organized Surgical Coordinator to become a key member of our patient care team.

Position Overview

The Surgical Coordinator plays a vital role in ensuring a seamless surgical experience for patients, physicians, and clinical staff. Acting as the primary liaison between patients, surgeons, hospitals, and insurance providers, this individual will oversee all aspects of surgical case management, from initial scheduling through post-operative follow-up.

The ideal candidate is detail-oriented, proactive, and committed to delivering exceptional patient-centered care while maintaining the highest standards of accuracy, efficiency, and professionalism.

Key Responsibilities
  • Serve as the primary point of contact for patients undergoing surgical procedures, providing education, guidance, and ongoing support.

  • Coordinate and manage the full surgical scheduling process, including operating room reservations, hospital coordination, pre-operative clearances, diagnostic testing, and post-operative appointments.

  • Educate patients on surgical preparation, procedural expectations, recovery timelines, and post-operative care instructions.

  • Obtain and track prior authorizations, referrals, and insurance approvals to ensure timely surgical scheduling.

  • Collaborate closely with physicians, advanced practice providers, hospitals, ambulatory surgery centers, and ancillary healthcare providers to optimize surgical workflows.

  • Monitor surgical case progress and proactively address scheduling conflicts, documentation needs, or patient concerns.

  • Maintain accurate and compliant patient records within the EMR system while adhering to HIPAA and regulatory requirements.

  • Facilitate communication between patients, providers, and family members to ensure a positive and informed surgical experience.

  • Assist with surgical packet preparation, medical documentation, and coordination of necessary forms and consents.

  • Advocate for patients by identifying barriers to care and helping ensure a smooth transition through every stage of treatment.

Qualifications
  • Previous experience as a Surgical Coordinator, Surgery Scheduler, Medical Coordinator, or related healthcare role preferred.

  • Strong understanding of surgical scheduling, insurance verification, authorizations, and healthcare documentation.

  • Knowledge of medical terminology, surgical procedures, and patient care workflows.

  • Proficiency with EMR systems and Microsoft Office Suite (Word, Excel, Outlook).

  • Exceptional organizational, time-management, and multitasking abilities.

  • Strong interpersonal skills with the ability to communicate effectively with patients, physicians, and healthcare professionals.

  • Ability to work independently while contributing to a collaborative team environment.
