Job Description
Job Summary: The Outreach Coordinator is responsible for conducting onsite outreach to prospective and existing clients, obtaining signatures on legal documents, collecting missing information and supporting documentation, and serving as a liaison between clients and the law firm. This position requires strong interpersonal skills, professionalism, attention to detail, and the ability to work independently in the field. The ideal candidate is organized, dependable, comfortable interacting with diverse communities, and capable of handling sensitive client matters with discretion and professionalism.
Key Responsibilities:
· Travel Coordination - Travel to residential properties, apartment complexes, and other designated locations to meet with clients and prospective clients.
· Document Completion - Obtain signatures on retainer agreements, declarations, authorizations, discovery and other legal documents.
· Information & Evidence Collection - Collect missing client information, supporting documentation, photographs, and evidence relevant to legal matters.
· Client Communication - Explain forms and procedural requirements in a clear and professional manner without providing legal advice.
· Record Keeping - Maintain accurate records of client interactions, completed paperwork, and outstanding items.
· Case Coordination - Coordinate with attorneys, case managers, and intake staff regarding client status and follow-up needs.
· Client Follow Up - Conduct follow-up visits and communications with clients who have incomplete files or pending documentation.
· Tenant Outreach - Assist with tenant outreach campaigns, community canvassing, and client engagement efforts.
· Document Management - Upload and organize documents within the firm’s case management system.
· Confidentiality Compliance - Maintain confidentiality of all client and case-related information.
Qualifications:
- Education: High school diploma or equivalent required.
- Experience: Prior experience in client services, field outreach, legal intake, property management, social services, or community relations preferred.
- Technical Skills: Proficiency in using office software (e.g., Microsoft Office).
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with attorneys, staff and clients. Bilingual is a plus.
- Time Management: Ability to prioritize tasks and manage time effectively in a fast-paced legal environment.
- Confidentiality: Demonstrated ability to handle confidential and sensitive information with discretion and integrity.
