PATIENT INTAKE & SCHEDULING COORDINATOR

Carolina Prime Physical Therapy is seeking a friendly, organized, and high-energy Intake Coordinator to be a welcoming first point of contact for our patients. This role is ideal for someone who enjoys helping people, thrives in a fast-paced environment, and can keep many moving parts organized while maintaining a positive, professional attitude.

What You’ll Do
You will work as part of a collaborative front-office and clinical support team. Responsibilities are shared among team members, and you will have support in managing the day-to-day workflow.
· Welcome patients in person and by phone with a warm, professional experience
· Assist with new-patient intake, scheduling, registration, and paperwork
· Help verify insurance benefits, obtain referrals/authorizations when needed, and communicate coverage information clearly
· Coordinate appointments across multiple therapists and specialty services
· Answer incoming calls, respond to patient questions, and route requests appropriately
· Maintain accurate patient records in the electronic medical record system
· Collect co-pays, balances, and assist with basic billing-related questions
· Help keep the front office organized, efficient, and patient-focused
· Communicate closely with therapists, clinical staff, and the administrative team
· Identify scheduling opportunities and help keep provider schedules full and efficient
What We’re Looking For
· Strong customer-service and communication skills
· Friendly, confident phone presence and ability to make patients feel comfortable
· Excellent organization, attention to detail, and follow-through
· Ability to multitask and stay calm during busy periods
· Comfortable learning software, scheduling systems, and insurance processes
· Prior medical office, physical therapy, dental, insurance, hospitality, or customer-service experience is preferred—but not required for the right person
· Dependable, professional, positive, and team-oriented attitude
