Job Description
We are seeking an organized Health Information / Medical Records Technician to manage administrative record processing, file data entry, and documentation verification for a dedicated federal healthcare delivery program. This on-site position focuses on implementing administrative decisions directly affecting the care, maintenance, extraction, and archiving of medical records programs, Monday through Friday, daytime operations. The Technician will support a specialized administrative and clinical team to ensure high-quality execution of health tracking, regulatory documentation compliance, and file reconciliation. Occasional company-paid out-of-state travel may be required to support centralized mobilization reviews. Flexibility is required to support scheduled operational readiness events per year.
Requirements:Health Information Management & Data Processing
- Record Integrity: Assemble, analyze, code, abstract, maintain, and extract comprehensive medical records information in accordance with regulations.
- Healthcare Systems Management: Actively input, track, scan, and index member health files and external medical documentation within specialized federal tracking databases.
- Profile Coordination: Process and log incoming medical records and verification requests to ensure health profiles are handled within mandated, tight turnaround timelines.
- Medical Document Processing: Review received external clinical notes, lab results, and diagnostic files, validating and uploading them into system networks within standard operating review windows.
- Evaluation Board Support: Audit digital and physical files, reconcile hardcopy records against electronic histories for file completeness, and route accurate records to case management staff prior to formal review boards.
- Operational Readiness Events: Support periodic, large-scale health assessment and deployment readiness review events throughout the year, utilizing flexible shift adjustments to process high-volume member documentation within standard workweek constraints.
Program Compliance & Administrative Support
- Quality Execution: Deliver detailed administrative support to ensure flawless contract execution and strict adherence to the program's Quality Control Plan (QCP).
- Liaison Assistance: Interface professionally with internal program staff, tracking points of contact, and external medical facilities to resolve record deficiencies or obtain required documentation.
- Compliance Reporting: Help compile data elements, log files initiated/closed, and format statistical inputs to assist leadership with structured monthly metrics reporting.
- Quality Assurance: Adhere strictly to healthcare privacy standard operating procedures, HIPAA guidelines, and federal data protection policies to maintain absolute patient record confidentiality.
Position Qualifications & Requirements
Mandatory Minimum Qualifications
- Education: High School Diploma or equivalent (GED required).
- Professional Experience: A minimum of one (1) year of experience in medical records management, medical billing/coding, or medical administration.
- Domain Expertise: Prior experience utilizing Department of Defense (DoD) or military medical readiness databases and tracking systems (e.g., electronic health record management) is highly preferred.
- Technical Designations: Advanced credentials (such as an active RHIT, RHIA, CCS, or equivalent health informatics background) are a plus but not required.
- Technical Skills: Strong proficiency in spreadsheet data entry, digital file formatting, and electronic document indexing.
- Security & Citizenship: Must be a U.S. Citizen capable of passing a federal Tier 1 background check (NACI) to secure an organizational credential and authorized network system access.
- Must be located or willing to relocate to Burlington, VT.
