Summary or Purpose
The District-wide Student Activities Coordinator Manager is responsible for providing support to the District-wide Activities Coordinator in for assisting principals, added dutyacademic activities facilitators athletic directors, and school-based activities personnel in planning, organizing, and scheduling games, organizing travel to and from games, and coordinating all district-sponsored student activities, including, but not limited to, athletics, student government, music, academic competitions, and other related activities.

The following are required:
- High school diploma or equivalent.
- Must possess a thorough knowledge of athletic and scholastic programs as well as local and regional sports organization rules and regulations, including ASAA rules, regulations, and policies.
- Knowledge of Title IX and its role in athletic and program equity.
- Must possess strong interpersonal skills, computer literacy skills, including Microsoft Excel and Word applications, and demonstrated skills related to detail and organization.
- Ability to maintain effective working relationships with a variety of individuals, including Academic Activities FacilitatorsActivities, Directors, Coaches, Principals, and the Public.
- Must be able to effectively present information and respond to questions from groups of administrators, staff, parents, students, and the general public.
- Must be able to interpret and effectively implement instructions furnished in written, oral, diagram, or schedule form.
- Experience organizing school events and whole of school or region[DS1] student activities.
Districtwide Activities Manager
1. Experience in coaching, officiating, student activity sponsorship, or community involvement.
2. Working knowledge of Google Docs, Google Sheets, and social media platforms.
3. Experience using the Infinite Visions Tyler accounting system.
4. Experience reconciling vendor account statements.
5. Working knowledge of the ASAA Activities Handbook and ASAA Code of Ethics.
6. Knowledge of District Travel Policy and District Board Policies.
7. Working knowledge of travel scheduling.
8. Inupiaq speaking and/or knowledge of the region and community.
9. Bachelor’s degree. Relevant experience may substitute for some of the education requirements.
Independent Decisions
Independent decision-making is expected, along with verifying courses of action with supervisors and district administrators as necessary.
Certificates, Licenses, Registrations:
· Valid Alaska Driver’s License
Essential Duties and Responsibilities
The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by employees in this classification. The duties shown provide a representative summary of the primary duties and responsibilities to be undertaken in collaboration with the District-wide Activities Coordinator.
· Support activities at all school sites as directed and be the main point of contact and support for stakeholders for region-scale events hosted by schools in Utiqagvik.
· Support District-Wide Activities Coordinator with the following:
- Scheduling, purchasing, and coordinating air and land transportation, lodging, and processing per diems & other reimbursements for all approved village activities and events as required.
- Recruiting and hiring of Student Activity referees, scorekeepers, and chaperones, including but not limited to arranging and purchasing airfare, lodging, transportation, and per diem.
- Assist with reviewing the accuracy of all Added Duty interviews conducted by principals and/or ADAcademic Activities Facilitator.
- Support supervision and support for Village Teams when weathered in Utqiagvik.
- Ensure that activity travel requests have the appropriate approval.
- Work with each school’s Academic Activities FacilitatorAD and principal to establish and maintain a central district and school activity calendar.
- Circulate the activities calendar to all schools to the Academic Activities FacilitatorAD and principals.
- Support the District’s Academic Activities FacilitatorsSite Student Activities Directors.
- Maintain and updates update the District Aactivity Hhandbook.
- Trains locallocal Academic Activities Facilitator Activity Directors and principals on the rules of hiring coaches.
- Oversees ASAA eligibility status for all activity participants.
- Works with ASAA to remedy any violation that may occur in a school year.
- Ensures that all mandated trainings for chaperones and coaches are completed.
- Provides travel packets to all coaches and the Academic Activities FacilitatorAD for travel trips.
- Responsible for ensuring that any activity-related incident reports are reported to the district in a timely manner.
- Ensures that all Site Academic Activities FacilitatorsActivity Directors have the proper insurance forms and are distributing the forms as needed.
- Handle and investigate parent or staff complaints concerning school activities and report to immediate supervisor.
- Works with the Academic Activities FacilitatorsSchool Activities Directors and building principals to handle discipline issues that happen during District-sponsored events.
- Duties will require working extended hours and weekends
- Maintain a high level of confidentiality with travel records and travel arrangements, including student records.
- Provide activities update on an ongoing basis, including reports to the Superintendent and School Board.
- Responsible for ensuring that activity reports are received and completed prior tobefore payments.
- Adhere to all District policies and regulations.
- Create and maintain a district-wide activities calendar.
- Provide sSupport and sSupervision at the Qatqinniagvik Learning Facility as needed.
- Perform other duties as assigned.
