Job Description
Job Title: Medical Assistant / Transcranial Magnetic Stimulation (TMS) Technician
Location: Heartland Wellness (a subsidiary of Midwest Recovery Centers)
Immediate Supervisor: Heartland Wellness Office Manager
Job Summary:
The Medical Assistant/ Transcranial Magnetic Stimulation (TMS) Technician is responsible for providing high-quality patient care with clinical and administrative medical assistant duties and the administration of TMS therapy. This role serves as a key member of the interdisciplinary treatment team by ensuring safe and effective TMS treatments, assisting with patient care activities, supporting medical providers, and promoting a positive patient experience.
The ideal candidate is compassionate, detail-oriented, technologically proficient, and committed to improving outcomes for individuals receiving mental health and substance use disorder.
Key Responsibilities:
Prepare patients for appointments by obtaining and documenting vital signs, weight, height, and chief complaints.
Collect and update patient medical histories, medication lists, allergies, and demographic information.
Perform point-of-care testing and specimen collection as permitted by training and organizational policy.
Obtain prior authorizations and assist with insurance verification for treatments and services.
Schedule patient appointments, coordinate follow-up visits, and manage provider schedules as assigned.
Maintain examination and treatment rooms, ensuring cleanliness, organization, and adequate supply inventory.
Prepare and process laboratory orders, referrals, and other provider directed clinical documentation.
Assist with medication refill requests and pharmacy communications as directed by providers.
Perform electrocardiograms (EKGs), urine drug screens, breath alcohol testing, and other approved clinical procedures as trained.
Ensure accurate documentation within the electronic medical record (EMR).
Set up and calibrate TMS equipment according to established protocols.
Safely administer TMS treatments to patients, ensuring precise targeting of the specified brain region.
Monitor patients during TMS sessions to ensure comfort and safety.
Adjust treatment parameters as directed by the prescribing provider or under clinical protocols.
Educate patients about TMS therapy, explaining the process, potential benefits, and expectations.
Answer patient questions and address concerns regarding TMS treatment.
Document any adverse events, side effects, or changes in patient condition during TMS sessions.
Perform routine maintenance and quality control checks on TMS equipment.
Ensure all equipment is properly cleaned and sanitized between patient sessions.
Collaborate with the clinical team, including psychiatrists, PMHNPs, psychologists, nurses, office staff and Medical Director to coordinate patient care.
Adhere to safety protocols and guidelines to minimize risks associated with TMS treatment.
Be prepared to respond to emergencies or adverse reactions during treatment.
Minimum Qualifications:
High school diploma or equivalent (Associate's or Bachelor's degree preferred).
Certification as Medical Assistant
Certification as TMS Technician or willingness to obtain certification.
Skills:

Working Conditions:
This position involves working in an outpatient clinical or healthcare setting in which patients are suffering from a variety of mental illnesses including substance use disorder. Some flexibility in work hours may be required to accommodate patient appointments, which could include evenings or weekends.
Conditions of Employment:
This person must be of the conviction that alcoholism and drug addictions are treatable illnesses and constitute a public health problem. This person must sign an oath of permanent confidentiality covering all client-related information. This person must, on their own behalf, keep current all licensure and certifications that are applicable to their position in the state of Missouri.
This person shall have no history or evidence of alcoholism or other drug misuse for a period of six (6) months immediately prior to the date of employment, and no misuse of alcohol or other drugs while employed with our agency.
