Ronald McDonald House Charities of St. Louis is a seeking an experienced Executive Administrator to provide high-level administrative and operational support to the President & CEO, ensuring efficient day-to-day workflow, effective communication, and strong coordination across internal and external stakeholders, while also providing support for the Executive Team. Additional areas of responsibility include providing risk management support, maintaining and coordinating semiannual updates to the Business Continuity Plan and supporting our capital campaigns, serving as the administrator for the Ronald McDonald House Global’s RADAR database and the Board Resource site, and managing overall daily office operations in support of all House locations.
Supervisory Responsibilities: Oversees interns and volunteers, as assigned.
Basic qualifications
- Bachelor’s degree.
- Excellent interpersonal skills and the ability to communicate effectively and professionally.
- Strong written communication skills, including drafting, editing, and proofreading correspondence and reports.
- Proven administrative and organizational skills with the ability to manage competing priorities independently and with sound judgement.
- Flexible hours as dictated by the needs of business for projects and meetings.
- Minimum of 5-7 years of progressively responsible administrative experience supporting senior leadership (executive support preferred).
- Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and the ability to learn organization-specific systems.
- Demonstrated ability to handle sensitive information with discretion and maintain a high level of confidentiality.
Responsibilities include:
On behalf of the President & CEO, coordinates and supports the planning, organization, and execution of the following:
Administration
- Manage the President & CEO’s calendar, appointments, and travel arrangements.
- Prepare and edit communications, reports, and correspondence on behalf of the President & CEO.
- Serve as the primary liaison to Board members and the Executive Committee to facilitate communication and planning.
- Coordinate all aspects of Board and committee meetings (including Board Orientation), strategic planning, staff, and leadership team meetings. Maintain discretion and confidentiality with Board members, committee members, donors, and staff.
- Oversee the Global National Donor Program at the local level, in alignment with RMH Global guidance.
- Establish and maintain chapter, program records and reports in Global database, RADAR.
Monetary Donations
- Process monetary donations in accordance with internal controls and audit requirements.
Risk and Liability Manager
- Oversee the Business Continuity Plan for RMH of St. Louis.
- Administers property and liability insurance policies, support, documentation, and renewals.
- Coordinates claims management activities, serving as the liaison with carriers, brokers, and internal stakeholders to ensure timely and effective resolution.
- Direct organization-wide risk management activities in accordance with RMH Global guidance and insurance requirements.
Office Coordination
- Oversee supply management and ordering to maintain a fully functional office environment while adhering to budget guidelines.
Global Database RADAR
- Serve as the RADAR administrator for the St. Louis chapter, responding to RMH Global data requests.
- Ensure the Annual Information Outcome Report (AIOR), Chapter Excellence Pillar reports, and staff rosters are accurate and current.
Regular, reliable attendance is required.
Physical DemandsMust be able to concentrate and remain focused while handling multiple tasks, responsibilities, and projects. Must be able to perform bending, twisting, stooping, reaching, and lifting of moderate to heavy weight material up to 25 lbs. Must be able to frequently climb stairs, including up to 5 flights, and frequently walk distances up to approximately 80 yards. Must be able to travel between RMH locations as needed.
Salary: $80,000 annually
