Job Title: Data Entry Specialist
Job Description

This Data Entry Specialist role supports daily administrative operations by accurately entering, updating, and maintaining information in Microsoft Excel and internal systems. You will help organise a backlog of donation receipts, ensure donor records are complete and accurate, and perform basic calculations to support reporting and record-keeping. This position suits someone with a positive attitude, strong attention to detail, and confidence working with numbers and spreadsheets in an office-based environment.

Responsibilities

  • Enter, update, and maintain data accurately in Microsoft Excel and internal systems.
  • Organise and process a backlog of donation receipts, including completing records for 2025 and catching up through 2026.
  • Log items brought in by donors into the donor system, ensuring all required information is captured.
  • Review information for accuracy and completeness, identifying and correcting errors where necessary.
  • Perform basic calculations and general maths to support data entry, tracking, and reporting tasks.
  • Organise and maintain physical and electronic records, including filing and retrieving documents as needed.
  • Provide clerical and administrative support, including order entry and general administrative tasks.
  • Use Microsoft Office tools, particularly Excel, to manage and structure data efficiently.
  • Learn and use the organisation’s software and donor systems, applying training to maintain accurate records.
  • Work collaboratively with a supportive, mission-driven team to ensure data and administrative tasks are completed on time.
  • Meet agreed deadlines and manage workload to keep data and records up to date.
Essential Skills
  • Proficiency with Microsoft Excel, including entering, updating, and organising data.
  • Comfort using Microsoft Office applications in an office-based environment.
  • Strong attention to detail and accuracy when handling data and records.
  • Basic maths skills and confidence performing general calculations.
  • Positive attitude and willingness to learn new systems and processes.
  • Reliability and ability to meet deadlines and manage tasks effectively.
  • Ability to perform data entry, clerical work, and administrative support tasks.
  • Capability to organise and file documents, both physical and electronic.
  • Willingness to be trained on internal software and donor systems.
Additional Skills & Qualifications
  • Experience with excel data entry and order entry in an administrative or clerical setting.
  • Familiarity with logging and tracking donations or similar transactional records.
  • Comfort working with donor or customer management systems after training.
  • Experience working in a mission-driven or non-profit environment.
  • Strong organisational skills to manage backlogs of records and receipts.

Pay and Benefits
