Are you a dynamic operations leader ready to spearhead the growth of a premier Southeast regional defense firm? A highly respected, multi-state law firm is executing a strategic search for an experienced Legal Office Manager to direct operations for their high-velocity Nashville office. This high-impact role is designed for a proactive administrator who can seamlessly bridge the gap between financial governance, personnel management, and daily legal facilities support. Working alongside regional leadership, the incoming manager will establish operational efficiency, oversee a growing administrative support team, and optimize localized law firm profitability.
Core Responsibilities
- Practice Group Operations: Oversee daily administrative workflows, optimize office operational policies, and establish strategic resource allocation patterns to support a rapidly expanding group of defense litigation attorneys.
- Financial Administration & Billing: Manage localized trust accounts, direct accounts payable/receivable pipelines, process vendor invoices, and collaborate with corporate accounting to audit attorney time-entry and monthly pre-bills.
- Human Resources & Talent Management: Direct localized onboarding, coordinate support staff scheduling, manage performance evaluation metrics, process bi-weekly payroll reporting, and address personnel relations under corporate HR guidelines.
- Vendor & Facilities Architecture: Serve as the primary point of contact for landlord relations, orchestrate equipment maintenance, audit service contracts, and coordinate local third-party IT, courier, and supplies vendors.
- Information Governance & Compliance: Monitor document management system (DMS) integrity, enforce regional data security protocols, and ensure facility alignment with systemic state and federal occupational safety standards.
Required Qualifications
- Experience: 3–5+ years of dedicated office management or legal administrator experience operating inside a fast-paced law firm environment.
- Operational Literacy: Comprehensive understanding of law firm billing mechanics, trust accounting rules, legal personnel workflows, and general business operations.
- Technical Ecosystem: Advanced proficiency using integrated law firm practice management systems, legal accounting platforms, and enterprise Microsoft 365 suites.
