Position Summary:
The Warehouse Parts & Inventory Coordinator is responsible for supporting warehouse operations through purchasing, inventory management, warranty administration, and material coordination. This position serves as a critical link between field operations, vendors, and the warehouse by ensuring materials are ordered, received, tracked, and processed accurately.
This is not a traditional warehouse labor position. The ideal candidate is highly organized, computer proficient, and experienced in administrative functions related to inventory, purchasing, and material management.
Schedule: Varies from 6:00am – 4:00pm, Monday thru Friday (Weekends and Afterhours as needed)
Essential Duties and Responsibilities
- Process material and parts orders to support service, installation, and maintenance operations.
- Create, track, and manage purchase orders.
- Coordinate with vendors regarding pricing, availability, and delivery schedules.
- Receive purchase orders and vendor invoices.
- Process warranty claims, returns, and manufacturer credits.
- Maintain accurate inventory records and stock levels.
- Monitor replenishment needs and communicate shortages proactively.
- Research part numbers, product specifications, and replacement options.
- Coordinate special-order materials and track delivery status.
- Assist technicians and field personnel with material requests.
- Maintain vendor and purchasing records.
- Utilize inventory management and purchasing software systems.
- Assist with cycle counts and inventory audits.
Qualifications
- Previous experience in purchasing, inventory control, warehouse administration, or parts coordination preferred.
- Experience in HVAC, plumbing, construction, automotive, or related industries is highly desirable.
- Strong computer skills, including Microsoft Office applications.
- Experience with ERP, inventory management, or purchasing software preferred.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Effective communication and customer service skills.
- Ability to work independently and as part of a team.
Requirements:
- Ability to occasionally lift up to 30 pounds.
- Ability to walk through warehouse environments as needed.
- Ability to sit and work at a computer for extended periods.
- Occasional use of ladders, carts, or material handling equipment.
