We are seeking a highly organized, proactive, and detail-oriented Virtual/Personal Assistant to support the company's founder and executive team with daily administrative and operational tasks.
Position OverviewThe Virtual/Personal Assistant will serve as a trusted partner in managing schedules, communications, projects, and administrative responsibilities. The ideal candidate is resourceful, discreet, tech-savvy, and capable of working independently in a fast-paced environment.
Key Responsibilities- Manage calendars, appointments, and meeting schedules.
- Screen and respond to emails, phone calls, and messages professionally.
- Coordinate travel arrangements and itineraries.
- Prepare reports, presentations, contracts, and business documents.
- Organize digital files and maintain accurate records.
- Assist with real estate transactions and document management.
- Coordinate with contractors, vendors, attorneys, lenders, and clients.
- Conduct market research and gather information for business decisions.
- Schedule property inspections, meetings, and project updates.
- Manage CRM systems and update client databases.
- Handle confidential information with professionalism and discretion.
- Assist with social media scheduling and online presence when needed.
- Perform other administrative and personal tasks as assigned.
- Previous experience as an Executive Assistant, Personal Assistant, Virtual Assistant, or Administrative Assistant.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High level of professionalism and confidentiality.
- Proficiency with Microsoft Office, Google Workspace, Zoom, and project management tools.
- Experience using CRM software is preferred.
- Knowledge of the real estate industry is a plus.
- Ability to work independently with minimal supervision.
