Medical Office Assistant
Locations: Monterey and Salinas, CA (On-site)
Job Type: Full-time
Pay: $20.00 – $23.00 per hour (Based on experience)

Job Summary
An established, patient-focused medical practice with offices in Monterey and Salinas is seeking a full-time Medical Office Assistant to join our team. We are dedicated to providing high-quality healthcare in a welcoming and compassionate environment. Previous medical office experience is preferred; however, we are willing to provide on-the-job training for the right candidate.
We are looking for a reliable, organized, and compassionate individual who enjoys working in a fast-paced medical office and is committed to delivering exceptional patient care.
Position Responsibilities
The Medical Office Assistant will provide both administrative and clinical support to ensure the smooth operation of our practice. Responsibilities include:
Front Office Responsibilities
- Greet and check in patients in a friendly and professional manner
- Answer and direct telephone calls
- Schedule and confirm patient appointments and diagnostic testing
- Verify patient insurance eligibility and benefits
- Collect patient payments and assist with patient registration
- Process referrals, medical records requests, and other administrative duties
- Maintain patient confidentiality and comply with HIPAA regulations
- Keep the reception area organized, welcoming, and professional
Back Office Administrative Support
- Prior Authorizations: Submit, track, and secure medical insurance prior authorizations for medications, imaging studies, and specialized procedures
- Referral Management: Process outbound patient referrals to specialists, coordinate medical record transfers, and track consultation reports
- Prescription Coordination: Coordinate prescription refill requests with providers and electronically transmit prescriptions to local pharmacies
- Lab & Diagnostic Tracking: Follow up on laboratory, pathology, and radiology results; route results to provider for review and promptly flag urgent findings
- Inventory Control: Maintain office supply inventory
- Billing Liason: Scan and route documents to the billing department, serve as point of contact for billing department
- Medical Records: Maintain patient charts, medical records, and clinical documentation
Clinical Support
- Prepare examination rooms for patient visits
- Room patients and obtain vital signs
- Assist physician and clinical staff during patient care as needed
- Ensure exam rooms and clinical areas are clean, organized, and appropriately stocked
Qualifications
- High school diploma or equivalent
- Previous medical office experience preferred
- On-the-job training provided for qualified candidates
- Experience with Electronic Medical Records (EMR) systems is preferred
- Strong computer proficiency, including Microsoft Office and general office software
- Excellent verbal and written communication skills
- Bilingual in Spanish is a plus, but not required
- Strong organizational skills with exceptional attention to detail
- Ability to multitask and prioritize in a fast-paced healthcare environment
