Position Overview
We are seeking a Director of First Impressions to be the face and voice of the firm and who also will serve as support to one of our senior advisors. There is a continuous opportunity to help clients proactively, to be consultative with them, and to improve the business as a whole.

Primary Responsibilities
Client Experience
- Be the first point of contact for clients, visitors and callers to the office
- Coordinate meeting hospitality and maintain conference rooms, reception and common areas to reflect our professional environment
- Manage relationships with building management and vendors
Service and Scheduling
- Schedule and coordinate advisor meetings along with meeting confirmations
- Prepare client agreements, reports and planning files and assist with any follow-up
- Support annual tax meeting coordination and quarterly reporting
Event & Marketing Support
- Coordinate client appreciation programs, gifts and special events
- Manage even logistics, registrations, communications and follow-up
- Coordinate meetings and communication with CPAs, attorneys, insurance professionals and other strategic partners
Office Operations & Administration
- Order office supplies and maintain inventory
- Process deposits and maintain administrative records
- Assist with compliance documentation and recordkeeping
Advisor Support
- Establish and maintain internal systems, processes, and protocols that bring structure to the advisor's day-to-day operations
- Monitor open items, action lists, and follow-up tasks to ensure nothing slips through the cracks
- Anticipate what is needed for client and internal meetings — preparing materials, agendas, and background information proactively rather than reactively
Technology & CRM Support
- Maintain client information within the CRM system
- Operate comfortably within CRM platforms, financial planning software, and productivity tools used by the firm
- Maintain accurate and up-to-date records within all platforms and systems
- Train team members on firm systems and processes
Qualifications
- Communicates clearly and effectively with the ability to connect easily with individuals
- Ability to build systems and structure in environments that lack them
- Detail-oriented and thorough — nothing falls through the cracks on your watch
- Proactive by nature; you identify what needs to happen and make it happen
- Ability to juggle multiple priorities while keeping a positive attitude
- Strong time management skills; comfortable managing multiple open items simultaneously
- Ability to maneuver through ambiguity and navigate last-minute change
- Patient and grounded, yet assertive enough to push back or redirect when necessary
- Ability to read the room, manage your own reactions, and serve as the operational anchor
- Respectful and professional, but not passive; firm where it matters
- Comfortable asking clarifying questions early, before investing time in the wrong direction
- Excellent written communication skills
- Proficiency with CRM platforms (experience with financial services CRMs a plus)
- Comfort learning and navigating new software and platforms independently
